Ready-made CRM or custom CRM: how to decide for your sales team

Start with a ready-made CRM if you sell in the usual way: a lead, then contact, then a quote, then a close. Systems such as HubSpot, Zoho and Salesforce are cloud subscriptions that are running within days and cover what most sales teams need. A custom system makes sense when your selling steps are specific and the ready-made settings do not match them, when the system must work with WhatsApp, your accounting system and your quotes as one thing, or when per-user fees become a burden on a large team. Either way, most CRM projects stall because the team does not use the system, not because the system is weak. In the Saudi market a custom CRM costs SAR 25,000 to 100,000 and takes 6 to 12 weeks. These are market ranges, not a quote.

What do you get from a ready-made system?

More than people hearing about it for the first time expect. The well-known cloud CRMs give you, from day one, a customer database, sales stages you drag deals through, tasks and reminders, email and calendar connections, reports, a mobile app and integration marketplaces with hundreds of tools. Rebuilding all of that costs a great deal and gives you no edge.

The vendor keeps developing the system and carries security, backups and uptime. You pay a subscription and use it. Check each vendor’s current pricing page, since plans and what they include change, and we do not reproduce them here.

As a general market range: CRM modules inside local accounting programs and ready-made platforms cost roughly SAR 99 to 199 a month, and published setup packages, covering data import and stage configuration, SAR 795 to 1,395 once.

When is ready-made the right decision?

If your team does not use a CRM today, the answer is ready-made without hesitation. The problem at this stage is not missing features but a missing habit: every rep logging every customer and every follow-up. A ready-made system tests that habit at little cost, and if the team will not stick to it, they will not stick to a custom system that cost tens of thousands.

It is also the right decision when your sales cycle looks like everyone else’s, when you rely on email and content marketing, and when your team is spread out and needs a mature mobile app from day one.

Use it for at least six months before you judge. By then you will know precisely what you are missing, which is the best basis for a custom decision if you need one.

Signs you have outgrown a ready-made system

These signs show up in daily use, and each is a problem with a cost you can calculate:

  • Reps write quotes outside the system and upload them as a file, because the quoting module cannot express your pricing.
  • Customer conversations live on WhatsApp in the reps’ phones, and the system knows nothing about them.
  • The same customer’s data is entered twice, once in the CRM and once in the accounting system.
  • You need permissions and approvals in sequence, from rep to supervisor to manager, that your plan does not allow.
  • You pay for a higher plan for the sake of one feature, and for users who need a single screen.
  • The reports management wants are assembled by hand in Excel every week.
  • A contractual or regulatory requirement says customer data must stay on a server you control.

Before going custom: try adapting the ready-made system

Most ready-made systems allow custom fields and stages, automation rules and integrations through their APIs. Much of what seems to need a custom system is solved by better configuration, or by one connection built between the CRM and your accounting system or WhatsApp.

This route is cheaper and faster, and it has two limits. First, some customisation options and API access are available only in higher plans, so check yours. Second, modifications piled on top of a ready-made system gradually become a fragile custom system that you do not own. If the list of modifications grows every month, that is a signal the time for custom has come.

Why CRM projects stall, ready-made or custom

The first cause, by a wide margin, is adoption. A system the reps do not log into gives management wrong reports, so management stops trusting it, so everyone stops using it. This happens with the most expensive global systems and with custom systems alike.

What makes the difference: a system that saves the rep time and does not add work, as few fields as possible, a manager who runs the sales meeting from the system’s screen and not from Excel, and a simple rule that a deal not in the system does not count.

That is why the real advantage of custom is not more features but fewer: a screen that matches the rep’s day exactly, in Arabic, without dozens of fields and menus that have nothing to do with them. A custom system built from a long feature list copied from a global product has thrown that advantage away.

How to decide

Map the journey of one real deal from first contact to collection, and at each step write down where it is recorded today and who records it. Then try two ready-made systems on that exact journey. If it goes through with small adjustments, subscribe. If it stops at core steps such as the quote, the approval or the link to accounting, you now have written requirements for a custom system.

Frequently asked questions

Is HubSpot, Zoho or Salesforce enough for my company?

Enough for most sales teams with a usual sales cycle. All three are cloud subscription systems with wide integration marketplaces. Run the trial on a real deal from first contact to close, and check Arabic support and the local integrations you need. Check each vendor’s current pricing and plans, which we do not reproduce here.

How much does a custom CRM cost in Saudi Arabia?

In the Saudi market a custom CRM usually costs SAR 25,000 to 100,000, and platforms that combine CRM and ERP SAR 50,000 to 200,000. The figure depends on sales stages, integrations, automation and reports. These are market ranges, not a quote.

How long does a custom CRM take to build?

Typically 6 to 12 weeks for a custom system, depending on the number of integrations and reports. A ready-made system is in use within days. In both cases add time to migrate and clean old customer data and to train the team, because that is what decides whether go-live succeeds.

Can I move my data from a ready-made system to a custom one?

Yes. The well-known ready-made systems let you export customers, deals and activities, which are imported into the new system once the fields are mapped. Check early what the export covers in your plan, especially attachments and message history, which are the hardest things to move.

Can a ready-made CRM be connected to WhatsApp?

In many systems, yes, through official or third-party integrations that rely on the WhatsApp Business API. Check three things: is the integration available in your plan, what does it cost on top, and does the conversation appear inside the customer record or on a separate screen?

Why does the sales team not use the CRM?

Usually because the system adds to their work and gives them nothing directly: too many fields, double entry, and reports that serve management only. The fix is to cut the fields to the essentials, have the system do something for them such as reminders and issuing the quote, and have the manager run meetings from the system itself.

What is the difference between CRM and ERP, and do I need both?

A CRM runs what happens before and during the sale: leads, follow-ups and quotes. An ERP runs what happens after: invoices, stock, purchasing and accounting. Small companies start with one of them, depending on where the pain is. As the business grows, connecting them matters so that customer data is not entered twice.

Should I start with ready-made even if I know I will need custom later?

Usually yes. Months on a ready-made system show what your team really needs, build the logging habit and clean your data. All of that makes the later custom system smaller, more precise and cheaper. The exception is a process so specific from day one that none of it passes through any ready-made system.
