Business process automation and system integration with n8n and AI

Workflow automation means data moves and repetitive tasks run between your company’s systems on their own: a request arrives from the website, gets logged in the CRM and the salesperson is notified on WhatsApp; or an invoice is created, sent and chased until it is paid. We usually build this automation on n8n, an open-source automation platform you can host on your own server, and add AI where it helps. It suits any company whose team spends hours copying and pasting between systems. The first phase usually takes 1 to 4 weeks, and the cost depends on the number of workflows and systems and their complexity. We send a written quote within 24 hours.

Who is this for?

  • Companies whose teams work across several systems that do not talk to each other
  • Sales teams copying customer details by hand from forms and ads
  • Finance teams tracking invoices, collections and reminders manually
  • Operations and HR teams repeating the same procedures every day
  • Fast-growing companies that need to organise operations before hiring more people

What you get

Process analysis before automation

We map the process with you as it actually happens, find where time is lost and errors creep in, and rank priorities by return before building any workflow.

n8n on your own server

We host n8n on your server or a cloud account in your name, so your data stays under your control and you do not pay fees that climb with every run, as with some platforms.

Connects hundreds of systems

Google Workspace, Microsoft 365, WhatsApp, accounting software, CRMs, online stores, databases and any system with an API.

AI steps inside the workflow

Classifying messages, extracting data from emails and attachments, summarising requests and drafting replies for staff to review before sending.

WhatsApp and email notifications

Alert the right person when something important happens, remind customers of payments or appointments, and send managers a daily report without them asking.

Error handling and monitoring

Every workflow logs what it ran, retries on temporary failures and alerts the owner on errors it cannot resolve, so automation never stops silently.

Documentation and handover

We document every workflow in plain language: what it does, when it runs and who it affects, and make sure your team knows how to pause or edit it.

What to automate first

Not every process is a candidate for automation. The rule of thumb: a process that repeats often, has clear steps, uses digital data, and where mistakes have a real cost. If an employee spends an hour a day moving data from email to a spreadsheet and then into a system, that is an hour you can win back every day, and copy-paste errors disappear with it.

We start with a list of repetitive processes, estimate the weekly time each one takes and how hard it is to automate, then begin with the highest-return, easiest-to-build ones. That gives you tangible results within a few weeks instead of a long project whose value only shows months later.

Automation is not about replacing staff; it moves their time from copying and chasing to work that needs judgement and customer relationships. The employee who used to spend the morning updating spreadsheets is now free to call customers who are late on payments or follow up on important deals.

  • Logging leads from forms, ads and WhatsApp into the CRM automatically
  • Issuing and sending invoices and reminding customers before and after the due date
  • Leave requests, approvals and notifications between employees and managers
  • A daily or weekly sales and collections report delivered to management
  • Moving orders from the online store to inventory, shipping and accounting

Why n8n

n8n is a visual automation platform where a workflow is built as a clear chain of steps that can be read and reviewed, with code available when needed. Its biggest advantage for companies is that it can be self-hosted: it runs on your own server and sensitive data stays inside your environment, which makes compliance with the Personal Data Protection Law (PDPL) easier.

Compared with cloud platforms that charge per task, self-hosted n8n keeps costs stable as your workload grows. That said, we are not attached to one tool: if your company relies on another platform, or an integration needs a custom-built service, we choose what fits and explain why in writing.

Example: from customer message to invoice

A service company receives requests from its website form, Snapchat ads and WhatsApp. Before automation, an employee copied each request into a spreadsheet, sent it to a salesperson, then followed up by hand. After automation, every request is logged in the CRM with its source, assigned to a salesperson by city, and the salesperson gets an instant WhatsApp notification.

When the request becomes a deal, the invoice is created in the accounting system with the same data, sent to the customer, and reminders go out before and after the due date, while management gets a morning summary of new requests and overdue collections. Not one of the company’s systems changed; what changed is how they talk to each other.

AI inside automation

Traditional automation needs structured data. AI extends it to free text: an email from a customer is understood, classified and the request extracted; a WhatsApp message becomes a maintenance request with the right fields; a PDF attachment is read and its data logged.

We put AI in the steps that need understanding and leave fixed rules for the steps that need precision. For important decisions such as financial approvals or replying to a complaint, AI suggests and a staff member approves.

Common mistakes in automation projects

Automating a messy process just produces mess faster, so we agree on the right process first, then automate it. The second mistake is workflows that stop without anyone noticing: an expired API key halts lead logging for a week. We build error alerts and run monitoring from day one.

The third mistake is automation that lives in one person’s head. Documentation and handover are part of the scope, and all accounts and keys are in your company’s name, so your business does not stall if an employee leaves or you change provider.

How to measure automation success

Before building each workflow we agree on a clear metric: manual hours saved per week, customer response time, data-entry errors or collection speed. A month after launch we review the metric with you in numbers and decide what to improve and what to add in the next phase, so expansion is based on results, not enthusiasm.

We usually suggest keeping a simple log before automating: how many requests arrive daily, how many minutes each one takes to enter, and how many errors are found each month. Just two weeks of that log makes the after-launch comparison accurate and gives management a clear return figure instead of impressions.

Frequently asked questions

How much does business process automation cost?

The cost depends on the number of workflows, the number of connected systems and whether they have APIs, whether a workflow needs AI steps, and where it is hosted. We usually start with a first phase of two or three high-return workflows at a contained cost, and send a written quote within 24 hours after a session where we understand your processes and the systems you use.

What is n8n and why do you use it?

n8n is an open-source visual automation platform where workflows are built as clear steps and connect hundreds of ready-made systems, with code available when needed. We prefer it because it can be hosted on your company’s own server, keeping your data under your control, and its cost does not multiply as the number of runs grows, as it does on some cloud platforms.

What is the difference between automation and building a new system?

Automation connects the systems you already have and removes the manual work between them; it is faster, cheaper and does not require your team to change habits. Building a new system is better when the current systems are themselves the problem. We often start with automation, and after a few months of running it becomes clear whether a unified system is worth it.

Can you connect our current accounting software?

Usually yes, if the software has an API, and most modern cloud software does. If not, we look at alternatives such as scheduled export and import, or reading from the database directly where permitted. We confirm this in the first session before any commitment, and state in the quote exactly what is possible.

What happens if a workflow stops working?

Every workflow we build logs what it runs, retries on temporary errors such as dropped connections, and alerts the owner on errors that need attention, such as an expired API key. We provide fast technical support after launch to fix any workflow issue quickly, and a monthly maintenance contract can also be agreed for ongoing monitoring.

Is automation safe for company data?

We host the platform on a server in your company’s name, store integration keys encrypted, and give each workflow only the minimum permissions it needs. Hosting in the region is available on request, we follow the Personal Data Protection Law (PDPL), and we sign an NDA, if you want, before accessing any internal system.

Can my team edit the workflows after handover?

Yes. n8n workflows are visual, and a moderately technical person can understand and edit them, for example changing a message text or adding a recipient. We hand over written documentation for every workflow, run a training session for your team on monitoring and simple edits, and remain available for larger changes.

How long does automation take to implement?

A simple workflow connecting two systems can be delivered within days. A typical first phase of two to four workflows takes 1 to 4 weeks, depending on access to the systems and how quickly your side reviews. We share progress with you weekly through the client portal.

Does automation include WhatsApp notifications?

Yes. We send notifications through the official WhatsApp Business API, such as alerting a salesperson to a new lead or reminding a customer of an appointment or a payment due. Customer messages use Meta-approved templates, internal notifications reach the team directly, and email, Slack or Teams can be added depending on what your team uses.

Is automation only worth it for large companies?

It pays off for both, and perhaps more for small companies, because every hour a small team saves has a visible effect. A ten-person company can automate lead logging, invoice reminders and a daily report at a contained cost and postpone extra hiring. We always start with the highest-return workflow, whatever the company’s size.

Do you work on our existing n8n instance?

Yes. If you already run n8n, we first review the existing workflows, fix what breaks or duplicates work, add monitoring, alerts and documentation, then build the new workflows on top. If the instance is on an unstable server or an old version, we propose a safe migration plan with no business downtime.
