Ready-made ERP or custom ERP: how to decide for your company
A ready-made subscription system is the right decision for most small businesses and for any company whose operations are standard: invoices, purchasing, stock and accounting the way everyone does them. Systems such as Odoo, Daftra, Qoyod and Zoho are running within days or weeks, cost little up front, and the vendor handles the updates. A custom system makes sense when the way you work is itself what sets you apart and no ready-made system matches it without heavy modification, or when you pay high per-user fees for screens you half use. In the Saudi market a custom or configured ERP for a mid-sized company costs SAR 30,000 to 150,000 and takes two to six months. These are market ranges, not a quote.

What do we mean by ready-made and by custom?
A ready-made system is software that thousands of customers use in the same form, paid for by subscription. Some are cloud accounting and invoicing programs such as Daftra and Qoyod, some are wider business suites such as Zoho, and some are ERP systems with many modules such as Odoo. You pick the modules, set the options and start.
A custom system is written for your company. Its screens, reports, permissions and approval steps follow the way you work. You own the code, host it where you like, and pay to build it and then to maintain it.
Between the two sits a third level that many overlook: a ready-made system that can be modified, with modules or changes added through an implementation partner. Odoo is a well-known example, with an open-source edition and a licensed commercial edition. This shortens the timeline, but the modifications need attention at every upgrade of the underlying system.
When is a ready-made system the right decision?
When your operations look like everyone else’s. Accounting, invoicing, purchasing and simple stock have been solved problems for years, and rebuilding them gives you no edge over competitors. Buy the ready solution and put your effort into what makes your company different.
It is also the right decision if your operations are not yet stable. A company that changes how it works every two months will rebuild a custom system again and again. Use a ready-made one for a year or two and you will know precisely what you are missing, and that knowledge is the best requirements document you could write.
Remember too that the vendor keeps up with regulation for you, including ZATCA e-invoicing. Just confirm that the plan you subscribe to includes the integration phase, because it is not available in every plan from every vendor.
When is a custom system worth its cost?
When adapting to the ready-made system costs more than building one that adapts to you. These signs usually appear after a period of using a ready-made system, not before:
- Your staff keep Excel files beside the system because it cannot express how they work.
- Your core process is specific: progress billing and change orders in contracting, pricing compounded from sizes and materials, or make-to-order production.
- You need approvals and permissions in a sequence the system’s settings do not allow.
- User fees rise with every hire, and most users need only one or two screens.
- You want the system connected to a field app, a client portal or a store, and the available connection is not enough.
- You need the data kept on a server you control for contractual or regulatory reasons.
Work out the total cost, not the purchase price
Comparing a monthly subscription with a build cost is misleading. Cost both options over five years. For ready-made: the user and module subscription times sixty months with expected headcount growth, setup and training fees, the cost of any modifications, and the cost of manual work that stays outside the system. For custom: the build, yearly maintenance that the market puts at 15% to 25% of the implementation cost, hosting, and your team’s time during the project.
We do not quote specific vendors’ prices here because they change, so check each vendor’s current pricing page and ask for a quote for your real number of users. As a general market range, cloud accounting and invoicing programs start under SAR 100 a month for small businesses, and a custom or configured system for a mid-sized company costs SAR 30,000 to 150,000.
The result differs from company to company. For ten users with standard operations, ready-made usually stays cheaper however long you run it. For sixty users with a specific process, the sum may flip in year three.
The risks sellers do not mention
Ready-made has its risks: the vendor sets the subscription price and it may rise, some features move to higher plans, and moving your data to another system later takes effort. Ask before subscribing: in what format can I export all my data? And what happens to my account if I stop paying?
Custom has its risks too: a project without clear requirements sprawls and runs late, and a weak vendor can hand you a system nobody else can maintain. Require the code, the server and the database in your name from day one, have the system delivered in working stages you can try, and start with the module that hurts most rather than all modules at once.
Either way, most projects stall for a non-technical reason: staff do not use the system. Set aside time for training, appoint one person inside the company as the system owner, and make sure the reports management asks for come from the system only.
How to decide in two weeks
Write down your five most important processes step by step, as they happen today. Then try two ready-made systems in their trial versions on those exact processes, and note every step you could not carry out. If the gaps are few and you can live with them, subscribe and you are done. If they sit at the heart of your business, you now have a real requirements list to request quotes on for a custom or configured system.
At Fortune Code we build custom ERP systems for companies in Saudi Arabia and the Gulf, and if we find that a ready-made system is enough for you, we will say so. What we commit to: a written quote within 24 hours, a written delivery date, code and accounts in your name, and fast technical support after go-live.
Ready-made versus custom, criterion by criterion
Indicative Saudi market ranges in SAR, not a quote.
| Scope | Typical cost | What drives the price |
|---|---|---|
| Up-front cost | Ready-made: low, a monthly or yearly subscription | Custom: high, SAR 30,000 to 150,000 for a mid-sized company in the market |
| Cost over five years | Ready-made: grows with users and modules | Custom: yearly maintenance at 15% to 25% of the build cost, with no per-user fee |
| Time to start | Ready-made: days to weeks | Custom: two to six months depending on modules |
| Fit with how you work | Ready-made: you adapt to the system | Custom: the system is built around your processes as they are |
| Updates and regulatory changes | Ready-made: handled by the vendor | Custom: your responsibility, covered by the maintenance contract |
| Ownership of code and data | Ready-made: the data is yours, the software is the vendor’s | Custom: the code, the data and the server are yours |
| Main risk | Ready-made: limits that show up after you grow | Custom: a project that stalls when requirements are unclear |

Which option fits which company?
Indicative Saudi market ranges in SAR, not a quote.
| Scope | Typical cost | What drives the price |
|---|---|---|
| A small business needing accounting, invoicing and simple stock | Ready-made | A cloud subscription, SAR 19 to 999 a month in the market depending on plan and users |
| A mid-sized trading company with standard operations | Ready-made, set up well | Invest in configuration, training and data migration rather than code |
| Operations close to standard with a few specific differences | A customisable ready-made system | The middle path: ready modules plus limited modifications |
| Contracting with progress billing, make-to-order production, compound pricing | Usually custom | The process itself is specific; bending a ready-made system to it costs more than building it |
| Dozens of users or more, and subscription fees rising every year | Run the custom numbers | Compare five years of subscriptions with the cost of building and maintaining |
| A large group with several companies and branches | A global enterprise system or a wide build | Above SAR 250,000 in the market, and it needs a project team on your side |

Frequently asked questions
Is Odoo, Daftra or Qoyod enough for my company?
Yes, if your operations are standard: invoices, purchasing, stock and accounting. The only way to be sure is to run the trial on your real processes, not on the sample data. If your five most important processes go through without workarounds, the system is enough. Check the vendor’s current pricing and plans, which we do not reproduce here.
How much does a custom ERP cost in Saudi Arabia?
In the Saudi market a custom or configured ERP for a mid-sized company usually costs SAR 30,000 to 150,000, and large multi-company, multi-branch projects go above SAR 250,000. Add yearly maintenance at 15% to 25% of the implementation cost. These are market ranges, not a quote; the real figure depends on modules, users and integrations.
How long does an ERP implementation take?
A ready-made system is in use within days to weeks, depending on data volume and training. A custom or configured system usually takes two to six months. In both cases what stretches the timeline most is cleaning and migrating old data and slow management decisions, not the programming.
Will a custom system comply with ZATCA e-invoicing?
It can and it must, but not automatically. The connection to the Fatoora platform is a piece that is built and tested, so write it explicitly into the scope. With ready-made systems the vendor takes care of it; confirm that your plan includes the integration phase.
Can I start with a ready-made system and move to custom later?
Yes, and that is often the best order. A year on a ready-made system shows you what you truly need and puts your data in order. When you move, master data and opening balances are migrated. Make sure from day one that the ready-made system lets you export all your data.
What is the middle ground between ready-made and custom?
A ready-made system that can be modified: its standard modules are switched on and limited changes are added for what is specific to your company. It saves time and cost compared with a full build. The downside is that many modifications make upgrading to new versions harder, so keep customisation the exception, not the rule.
Who owns the data in a ready-made system?
Your data is yours and the software is the vendor’s. What matters in practice is being able to take your data out when you want. Before subscribing, ask about the export format, whether it includes journal entries, attachments and full history, and what happens to the account when the subscription stops. With a custom system, require the database and server in your name.
Why do some ERP projects fail?
Mostly for non-technical reasons: unwritten requirements, trying to launch every module at once, dirty legacy data, and untrained staff who drift back to Excel. Start with one module, appoint an internal system owner, and have management reports come from the system only.
