Custom Accounting System

Custom Accounting and Invoicing System for Companies

A custom accounting system is built around your own business cycle: the chart of accounts, e-invoices, purchasing, receivables and payables, cost centres and financial reports, with entries generated automatically from your operations. For most companies ready-made accounting software is the better choice, and we say so plainly. Custom suits a company whose workflow ready-made software doesn’t cover, or one that wants accounting as part of its operational system. Implementation takes 8 to 16 weeks. Market guides put ready-made cloud subscriptions at SAR 19–999 per month, and a custom or configured system for a mid-sized company at SAR 30,000–150,000. You get a written quote within 24 hours of us understanding your needs.

Who is this for?

  • Companies whose revenue comes from special operations: contracts and milestones, subscriptions, commissions, funds held for others
  • Businesses with an operational system that want accounting entries generated from it with no re-entry
  • Multi-company and multi-branch groups that need consolidated reports their own way
  • Companies that need cost and profit per project, contract, branch or vehicle
  • Businesses paying high per-user fees for ready-made software and using a small part of it

What you get

Chart of accounts and journals

An account tree with levels that fit your business, manual, automatic and recurring entries, and period closing that blocks changes after approval.

Sales and e-invoicing

Standard and simplified tax invoices and credit and debit notes in the required format with a QR code, integrated with the Fatoora platform for businesses in scope.

Purchasing and suppliers

Purchase orders and supplier invoices matched to receipts, with payments scheduled by due date.

Receivables and payables

A statement per customer and supplier, debt ageing, credit limits, and automatic reminders before and after the due date.

Cost centres and projects

Every entry is tagged to a centre, project, branch or contract, giving an income statement for each, with a budget and its variance.

Cash and banks

Receipt and payment vouchers, cash boxes and floats, cheques and transfers, and bank reconciliation from an imported statement.

Automatic entries from operations

An event in your operational system, such as a milestone delivered, a work order closed or an instalment collected, generates its entry by a rule your accountant approves.

Permissions and audit trail

Who enters, who approves and who posts, with a permanent log of every creation, change and cancellation by name and time.

Financial and tax reports

Trial balance, income statement, balance sheet, cash flow and the VAT report for the period, with export to Excel.

First: do you need custom software at all?

The honest answer for most companies is no. Accounting follows one set of rules, and the cloud accounting products available in the Saudi market apply them well, keep up with e-invoicing requirements and their updates for you, and cost a small monthly subscription. A trading or service company with an ordinary buy-and-sell cycle gains nothing from building its own accounting program.

If that is you, our advice is to subscribe to a suitable ready-made product and invest in a good accountant. And if your only problem is that your current system doesn’t issue e-invoices, the answer is to connect it, not replace it. We say this in the first meeting, before any quote, because a project the client doesn’t need ends well for no one.

When custom is justified

Custom is justified when the problem lies before the journal entry, not in the entry itself. That is, when your numbers come from operations ready-made software doesn’t understand, so the accountant re-keys them every day. Revenue recognised across delivery milestones. Money collected on behalf of others and passed on after a commission. Subscriptions and instalments with rules of their own. Cost allocated across projects, vehicles or contracts.

In these cases there are two routes, and we help you choose. The first is to keep your ready-made accounting software while we build the operational system and connect it where the software offers an interface, so entries arrive ready. This is usually cheaper and lower risk. The second is to make accounting a module inside your custom system, which suits groups and businesses for whom a link isn’t enough. Either way you own the code and your data, and you pay no fee per user.

  • Your accountant re-enters what already exists in another system
  • Profit per project or contract is assembled in a spreadsheet at month-end
  • Several companies or branches, consolidated by hand
  • Ready-made software where you pay for dozens of users who need a single screen

What the first version contains

The first version is enough to close a full month on the system with a trial balance that balances. We run one month in parallel with the old system and reconcile, then add budgets, fixed assets, group consolidation and management reports.

  • Chart of accounts, cost centres and opening balances
  • Sales and purchase invoices and notes, compliant with e-invoicing
  • Receipt and payment vouchers, cash and banks
  • Customer and supplier statements and debt ageing
  • Trial balance, income statement, balance sheet and the VAT report

E-invoicing and connecting your other systems

Any system issuing tax invoices in Saudi Arabia has to meet ZATCA’s e-invoicing requirements. We build issuing in the required format with the QR code and archiving, and integration with the Fatoora platform for businesses ZATCA has notified for the integration phase. The date your business becomes subject to it is set by ZATCA. Later changes to the requirements are covered by the agreed support, and that is a clause to ask about in any quote.

The system applies rules set by your chartered accountant; it doesn’t replace them. The accounting and tax treatment of each transaction, the policies and the closings are professional decisions they approve, and we turn them into posting rules and reports. We don’t give accounting or tax advice.

  • Points of sale and the online store: sales and payments posted
  • Stock and purchasing: cost of goods sold and receiving entries
  • Payroll: the payroll run and accruals
  • Banks: statement import for reconciliation, with direct integration where the bank offers it
  • Dashboards: management figures straight from the ledger

Migrating balances and running in parallel

An accounting switch has a preferred moment: the start of a financial year or a quarter, after the previous period is closed. We migrate the chart of accounts, opening balances, customer and supplier balances invoice by invoice rather than as a single figure, and fixed assets with accumulated depreciation. Entries from earlier years stay in the old system for reference, or move as monthly balances for comparison.

Then comes a month of parallel running: transactions are recorded in both systems and the trial balance is reconciled at month-end. Any difference is explained before you rely on the new system alone. That month is extra work for the accounting team, but it is what lets the finance manager sign off on the numbers with confidence.

Common mistakes in custom accounting projects

The first mistake is building general accounting software from scratch to compete with ready-made products at what they do well. Build only what is specific to your cycle. The second is leaving the accountant out of design sessions: a developer doesn’t decide when revenue is recognised. The third is allowing a posted entry to be edited or deleted without a trace, which destroys trust in the whole system at the first audit.

The fourth is forgetting what comes after delivery: e-invoicing requirements get updated, so who follows them and at what cost? When comparing quotes, ask: is integration with the Fatoora platform included? Is migration of detailed balances included? Is there a fee per user? Are the code and the database in my name?

Frequently asked questions

How much does custom accounting software cost?

Market guides put ready-made cloud accounting and invoicing software at SAR 19–999 per month, connecting an existing system to e-invoicing for a small or mid-sized business at SAR 9,500–18,000, and a custom or configured system for a mid-sized company at SAR 30,000–150,000. These are market ranges, not our price. We send a written quote within 24 hours of understanding your business cycle.

Is ready-made or custom accounting software better?

For most companies ready-made is better: cheaper, faster, and it follows e-invoicing updates for you. Custom suits a company whose numbers come from special operations the accountant re-keys by hand, one that wants accounting inside its operational system, or a group with its own consolidated reporting. Often the cheapest answer is to keep the ready-made product and connect your operational system to it.

Is the system compliant with ZATCA e-invoicing phase two?

Yes. We build standard and simplified tax invoices and notes in the required format with a QR code, and integration with the Fatoora platform for businesses in the integration phase, with electronic archiving. The date your business becomes subject to it is set and communicated by ZATCA, and we follow updates under the support contract.

Our current system is fine but doesn’t issue e-invoices. What can we do?

Usually you don’t need to replace it. If the system gives access to invoice data through an interface or its database, we build a connector that converts its invoices to the required format, sends them and receives the response. Market guides put this at SAR 9,500–18,000 for a business with one system, and SAR 22,000–45,000 for multiple branches and points of sale.

Do you provide accounting or tax advice?

No. We build the system; the accounting and tax treatment is decided by your chartered accountant or tax adviser. We sit in the design sessions with them, turn the policies they approve into posting rules, permissions and reports, and document them in writing so they serve as a reference in any audit.

Does it support cost centres and project profitability?

Yes, and it is one of the most common reasons for going custom. Every revenue and expense item is tagged to a cost centre, project, contract or branch, and shared costs can be allocated by ratios you set. The result is an income statement for each one and a comparison against budget, with nothing assembled in a spreadsheet.

Does it support several companies, branches and currencies?

Yes. Each company has its own books and its own or a shared chart of accounts, with intercompany transactions and consolidated group reports. Branches have separate cash boxes and permissions. Foreign currencies are recorded at the day’s rate with exchange differences, following the policy your accountant approves.

Can you migrate our data from the current software?

Yes. We migrate the chart of accounts and opening balances, customer and supplier balances with their open invoices, and fixed assets. Then we run a month in parallel and reconcile the trial balance between the two systems before you rely on the new one. The best time to switch is the start of a financial year or a quarter.

How long does implementation take?

8 to 16 weeks depending on modules and integrations, followed by the month of parallel running. We start with the chart of accounts, invoices, cash, receivables and payables and the core reports, then cost centres and automatic entries from operations, then consolidation and budgets. The delivery date is written into the contract and we keep it.

Do the code and the financial data belong to our company?

Yes. The source code, the database and the hosting accounts are in your company’s name, and the contract says so; data can be hosted in the region on request. There are no fees per user. After launch you get fast technical support, and you can develop the system with any team you choose.
