Education App Development for Schools, Academies and Training Centres
An education app brings management, teachers, parents and students into one place: the timetable and homework, attendance and absence alerts, fees, instalments and payment, grades and reports, and circulars and messages. We build it for private and international schools, nurseries, sports academies, language institutes and training centres. A first release takes 10 to 16 weeks. Market guides put a simple app at SAR 15,000–75,000, a mid-sized iOS and Android app with a dashboard and payments at SAR 60,000–170,000, and a complete learning platform with mobile apps at SAR 40,000–150,000, depending on the number of roles and the link to the school system. Who is this for?
- Private and international schools that want one official channel with parents instead of WhatsApp groups.
- Nurseries and kindergartens where parents follow the child’s day, meals and photos.
- Sports academies and skills centres that sell subscriptions and record class attendance.
- Language institutes and training centres that enrol people in courses and issue certificates.
- Quran memorisation and tutoring centres that track each student’s progress and keep the family informed.
What you get
An account for each role
A parent sees all their children from one account, a teacher sees their classes, a student sees the timetable and homework, and management sees the whole picture.
Timetable and homework
The day and week timetable, homework with a due date and attachments, and a calendar of exams, holidays and events.
Attendance and absence
The teacher takes attendance on a phone in a minute, and the parent gets an instant alert for absence or lateness, with leave requests from the app.
Fees and instalments
Due and paid amounts and the next instalment date, payment with mada and Apple Pay through a licensed gateway, Tabby and Tamara instalments, and an instant receipt.
Grades and reports
Assessment grades as they come in, a periodic report on the student’s level and conduct, and the term certificate to download once approved.
Organised circulars and messages
A circular to the school, a stage or a class with read receipts, and parent-teacher messaging during hours management sets.
Transport and pickup
An alert when the student boards and leaves the bus, and a pickup request at the gate so the child is ready before the parent arrives.
Enrolment, courses and certificates
For academies and centres: course listings and schedules, enrolment and payment, class attendance, and a completion certificate with a verification code.
Admin dashboard and permissions
Manage classes, teachers, students and fees from the browser, with permissions per staff member and attendance and collection reports.
The problem an education app solves
In most schools and centres communication is spread across WhatsApp groups, a note in the school bag and a call from the office. A circular is lost among hundreds of messages, a teacher’s personal number becomes a helpline until midnight, a parent learns of an absence only at the end of the day, and the accountant calls families one by one about an instalment.
An app gives every piece of information a place: the circular reaches the right people and shows who has read it, an absence is flagged the moment it is recorded, the system reminds parents of an instalment and it is paid from the phone, and messages to teachers go through an official channel at set hours. The result is a school that looks better organised to parents, and staff who win back hours of their day.
An app, or a web portal?
Management, accounts and student affairs work on a large screen, so their place is the web dashboard. A parent deals with the school from a phone in scattered minutes and needs a notification that arrives without opening anything. That makes the app the right front end for parents and students and the web the right one for management, both on one database.
A training centre where a trainee signs up for one course a year may need no more than a website with enrolment and payment. A school or academy that a parent deals with daily for years is where an app is really used. How often people come back is the test.
- A daily, long-term relationship: an app for parents and students.
- Seasonal course enrolment: a website with enrolment and payment may be enough.
- Management always works from a web dashboard.
What the first version should contain
We start with parents because they are the heaviest users: circulars and notifications, attendance and absence, the timetable and calendar, fees and payment, and organised messaging. With that comes what the teacher needs to feed those screens: taking attendance and sending homework and circulars from a phone in as few taps as possible.
What comes later: recorded lessons and live classes, online exams, school transport, the canteen and a wallet. Learning content inside the app is a project in its own right that needs content production, and it should not hold back the launch of communication and fees.
How the app connects to the school system
If you have a school management or student information system, the app reads students, classes, timetables and fees from it where the system offers an interface, so nothing is entered twice. Where integration is not possible or there is no system, the app’s dashboard becomes the student register, and data can be imported into it from Excel files.
Payments go through a licensed payment gateway and are posted to accounting, and tax invoices are issued by an accounting system that meets e-invoicing requirements. Government education platforms remain the official channel for what belongs to them; the app does not replace them, it covers the institution’s own communication, fees and services.
- School management system: students, classes, timetables and grades.
- Accounting and a licensed payment gateway for fees.
- The live-class platform or lesson library, if any.
- Bus or gate systems where they offer an interface.
Student data privacy
Children’s data, photos and grades are sensitive personal data, and the Personal Data Protection Law makes the institution responsible for them. We build permissions so a parent sees only their own children and a teacher only their own classes, and photos are published to the parents of the class concerned, not to everyone, with the parent’s consent for their child’s photos.
We also control who may link an account to a student: management approves guardians, and more than one guardian can be added with different permissions. The data stays in accounts in the institution’s name, with in-region hosting available.
What to prepare, and common mistakes
Prepare the list of students, classes and teachers in an organised format, the structure of fees, discounts and instalments, and a communication policy: who messages whom, and when. Name a coordinator from management to approve designs and lead the pilot.
The most common mistake is launching mid-year with no clear mandate, so WhatsApp stays the real channel. A launch that works begins with a new term, with one stage or two grades first, and a management decision that circulars go out only through the app. The second mistake is an app that gives teachers extra work: if taking attendance needs more than a minute, they will not use it.

Frequently asked questions
How much does a school or academy app cost?
Market guides put a simple app or first version at SAR 15,000–75,000, a complete learning platform with mobile apps at SAR 40,000–150,000, and a mid-sized iOS and Android app with a dashboard and payments at SAR 60,000–170,000. These are market ranges, not our price. Yours depends on the number of roles, modules and integrations, and we send a written quote within 24 hours.
How long does it take?
From 10 to 16 weeks for the first release. We advise timing the project so the pilot runs before a term begins, not in the middle of one. We write the delivery date into the contract and keep it, and deliver in stages that management and a group of teachers and parents try before the full rollout.
Can the app connect to our current school system?
Yes, where the system offers an interface, so student, class and fee data is read from it directly. We review the system before contracting and write down what will be connected. If that is not possible, we import the data from files and manage it from the app’s dashboard, or build the school management system itself with the app as its front end.
Will the app replace WhatsApp groups?
For official communication, that is its purpose: circulars, absence, fees and messages to teachers. It works when management decides the app is the only official channel and sticks to it. What we build makes that decision easier: read receipts, set messaging hours, and an archive of everything sent that parents can go back to.
Can parents pay fees in the app?
Yes. They see what is due and the instalment schedule and pay by mada, card or Apple Pay through a licensed payment gateway, and Tabby or Tamara instalments can be added if the institution wishes. They get an instant receipt, the payment shows up in accounts without manual matching, and the system reminds them before an instalment is due.
Does the app support recorded lessons and live classes?
Yes, a lesson library, live classes and online exams can be added, and they suit academies and institutes. If the institution sells digital content inside the app, the app stores have their own payment policies, which we review with you during analysis. We keep this module in a separate phase because it needs content ready.
Does it suit a sports academy or a training centre?
Yes, with a different focus: subscriptions and class packages instead of annual fees, class booking and attendance, the coach’s assessment of a trainee’s progress, and completion certificates for courses. We build the modules your activity needs and do not load you with school modules you will not use.
How are students’ data and photos protected?
With precise permissions: each parent sees only their own children and each teacher their own classes. Photos are published to the parents of the class concerned and with the parent’s consent, and management approves the linking of accounts to students. The design takes the Personal Data Protection Law into account, with encryption and an access log, and the data sits in accounts in the institution’s name.
Does the institution own the code and the app?
Yes. The app is published in the school’s or academy’s name from developer accounts it owns, and the code and database are its property under the contract, so it pays no per-student fee as it would on subscription platforms. After launch we provide fast technical support, especially in the first weeks of term.
