School Management System for Private and International Schools

A school management system brings admissions and enrolment, fees and instalments, attendance and grades, and parent communication into one platform. We build it for private and international schools, multi-campus school groups, kindergartens and training centres, to cover what the official platforms don’t. It collects fees online and issues their invoices, and gives parents an app to follow their children. Implementation takes 10 to 20 weeks depending on modules, and the best time to launch is before the academic year begins. Cost depends on the number of campuses, modules and apps. What the official platforms don’t cover

The official education platforms cover the academic side and records required by the authorities, and we don’t suggest replacing them. But a private school runs a whole commercial and operational side outside them: admissions and marketing, fees, instalments and collection, transport, daily communication with families, and financial management reports.

That side is what we build. The result is that leadership sees enrolments, overdue payers and expected revenue per campus on one screen, instead of piecing them together from the accountant’s, student affairs’ and transport’s files.

Fee collection: the biggest quick win

In most private schools fee collection takes up a lot of the administration’s time: overdue lists prepared by hand, calls to parents, and paper receipts reconciled with the bank. The system turns that into a clear instalment schedule for each student, an automatic reminder before the due date, and a payment link that reaches the parent on WhatsApp.

Because e-invoicing is required for VAT-registered businesses, we integrate fee invoices with Fatoora, applying VAT treatment on fees according to each student’s status as your tax adviser determines.

Leadership sees the collection picture in real time: how much of the term’s fees has been collected, how much is overdue, and who is more than a month late. Follow-up decisions are made on numbers, not impressions.

The parent experience is the face of the school

Parents judge a school by how quickly they are informed and how easy it is to keep track. One app where they see their child’s absence the same day, check grades and homework, pay the instalment and read school announcements noticeably cuts calls and visits, and builds trust that shows at re-enrolment.

We make sure the app supports several children in one account and more than one guardian per student, and that notifications are tuned so they don’t become noise families ignore.

Admissions: from enquiry to seat

Enrolment season is a private school’s sales season. Every parent enquiry is a potential student, and every day’s delay in replying may send them to another school. The admissions system gathers enquiries from the website and WhatsApp into one list, and tracks each application from visit to interview to acceptance to payment of the registration fee.

Leadership knows at any time how many seats are left in each grade, the enquiry-to-enrolment conversion rate, and which ad channel brought actual students. Those numbers help plan classes and teachers before the year starts, not after.

An implementation plan built around the academic year

Launch timing matters more in schools than in any other project. The best window is the summer before enrolment opens; the worst is mid-term. So we plan the phases backwards from the start of the academic year.

  • Phase one: admissions, enrolment and fees, ready before enrolment opens
  • Phase two: attendance and the parent app, ready before the first day of school
  • Phase three: grades, reports and transport during the first term
  • Migrating current student and family data and reconciling fee balances before go-live

Frequently asked questions

How much does a school management system cost?

Cost depends on the number of campuses and students, the modules required such as admissions, fees, attendance, grades and transport, and whether it includes an app-store parent app. We recommend starting with fees and enrolment because they pay back fastest and save the administration the most time. We send a written quote within 24 hours, phased to fit the academic year.

Does it replace the official education platforms?

No, and we don’t suggest it. The official platforms remain for the academic and regulatory requirements set by the authorities. Our system runs the operational and financial side of a private school: admissions, fees, collection, family communication, transport and management reporting, and works alongside the official platforms, not instead of them.

Can fees be paid online?

Yes. Parents pay the instalment from the app or from a link sent on WhatsApp, via mada, Apple Pay and STC Pay; the payment is recorded on the student’s account and the invoice is issued automatically. The accountant no longer has to reconcile receipts against the bank statement by hand at the end of each month.

Does it support more than one campus?

Yes. Each campus has its own stages, classes, fees and staff, and head office sees enrolment and collection per campus and for the group in consolidated reports. A parent with children at two different campuses can follow them all from one account.

Is there a parent app?

Yes. An app where parents follow their children’s attendance, grades, homework and fees, receive school announcements and contact the school, with several children supported in one account. You can start with a mobile-friendly web version, then launch an app-store app in a later phase.

When should we start the project?

At least four months before enrolment opens for the next year, so admissions and fees are ready when enrolment opens and the parent app is ready before the first day of school. Starting late means launching mid-term, the hardest time for teachers and families.

Is student data secure?

Yes. Student and family data is protected by fine-grained permissions: teachers see only their classes, the accountant only sees fees, and every access is logged. We apply encryption and backups, follow the Personal Data Protection Law (PDPL), and the data can be hosted in-region on request.

Can you migrate current student data?

Yes. We migrate student, family and class data and fee balances from Excel or a previous system, and reconcile balances with the accountant before go-live, so no parent receives a wrong demand in the first week.

How long does implementation take?

10 to 20 weeks for the complete system, in phases starting with admissions and fees. Smaller schools with fewer modules can start sooner. We plan the timeline backwards from the date enrolment opens and the academic year begins.
