Pharmacy Management System

Pharmacy and Pharmacy Chain Management System

A pharmacy management system brings sales, stock and expiry control into one place: a barcode point of sale, batch and expiry tracking, substitute suggestions by active ingredient, purchasing from suppliers and insurance claims, with tax invoices that meet ZATCA’s e-invoicing requirements. We build it for independent pharmacies that want to cut waste and for pharmacy chains that need a central view of every branch. Implementation takes 8 to 14 weeks, and custom systems with us start from SAR 18,800. The final price depends on branches and integrations, and you get a written quote within 24 hours of us understanding your needs.

Who is this for?

  • Independent pharmacies losing money on medicines that expire on the shelf
  • Pharmacy chains that want one stock, price list and reporting view across branches
  • Pharmacies inside medical centres that dispense clinic prescriptions and deal with insurers
  • Beauty and supplement pharmacies selling online with home delivery
  • Small pharmaceutical distributors supplying their own pharmacies

What you get

Fast barcode point of sale

Scanning a pack shows the price, batch and quantity, with sales by pack or strip, permission-based discounts and a simplified tax invoice.

Batches and expiry dates

A batch number and expiry date on every receipt, first-expired-first-out dispensing, and a report of what expires within a period you set, so it goes back to the supplier in time.

Substitutes and active ingredients

Each item linked to its active ingredient and strength, so the pharmacist sees an in-stock substitute when the requested item runs out.

Prescriptions and insurance claims

The prescription, insurer and co-pay recorded, the patient share separated from the insurer share, and monthly claims compiled with rejected ones followed up.

Purchasing and reorder levels

Suggested purchase orders based on sales and minimum levels, receiving against the supplier invoice, and tracking of returns and free goods.

Branches and transfers

Every branch’s stock visible to management, transfers with an “in transit” status, and shared or branch-specific prices.

Online orders and delivery

Orders from the website or a WhatsApp link with a photo of the prescription, reviewed by the pharmacist before picking and handed to the driver.

Margin and waste reports

Profit per item and category, slow movers, the value of expired and damaged stock each month, and sales per pharmacist and branch.

Why a general POS is not enough for a pharmacy

General POS software knows you have 30 packs of a medicine. It does not know that ten of them expire next month, it cannot suggest a substitute with the same active ingredient when the item runs out, and it does not separate the insurer’s share from the patient’s. Those details decide whether a pharmacy makes or loses money.

Pharmacy losses rarely come from weak sales. They come from waste: medicines expiring in a back drawer, insurance claims rejected for missing data, and purchase orders placed by guesswork. A system designed for pharmacies turns those leaks into daily reports and alerts.

What the pharmacist needs during the day

The sales screen must be faster than the pharmacist, not slower. We design it to work scan-first, with search by brand or generic name, and a warning if the batch being dispensed is not the one expiring soonest.

  • Search by brand name or active ingredient with in-stock substitutes
  • Sale by pack or by strip with automatic pricing
  • Caution notes on specific items shown at the point of sale
  • Shift close with cash and mada reconciliation
  • The invoice sent to the customer on WhatsApp instead of paper

E-invoicing and the regulators

Every invoice the system issues is built to meet ZATCA’s e-invoicing requirements, including Phase 2 integration when your business is in scope. It is part of the design, not an add-on.

For health-sector systems, such as the SFDA’s drug tracking and electronic health insurance claims, we review with you at the start which ones apply to your business. We integrate where the authority offers an interface and the required accreditation is in place, and we write into the scope what will be automatic and what will stay on the authority’s portal.

Ready-made pharmacy software or a custom system?

A single pharmacy with a typical range is usually well served by ready-made software on a monthly subscription, and there are specialised cloud products for pharmacies worth trying. We don’t recommend a custom system before you need one.

A custom system makes sense for chains and medical centres: several branches with different prices and promotions, a central store feeding the branches, a branded app or online store, or a link to the medical centre’s clinic system. You own the code and the data, and the price doesn’t rise with every branch or user you add.

Data migration and go-live

The hardest step is the item master: consistent names, every item tied to its barcode and active ingredient, and opening balances entered with their batches. We clean the file from your current system or from supplier files before go-live.

Then we run the system in one branch for two weeks under observation, train pharmacists on sales, receiving and stock counts, and roll it out to the other branches. The delivery date is written into the contract and we keep it.

Questions to ask before you sign

When comparing quotes, don’t ask about the price alone. Ask what happens to your data if you want to switch, who owns the code, and how fees change when you add a branch.

  • Is Phase 2 e-invoicing included and tested?
  • Does it track batches and expiry dates per branch?
  • Does it separate the insurer share and compile monthly claims?
  • Can it keep selling if the internet drops for a few minutes?
  • Are the code and the database in my company’s name?

Frequently asked questions

How much does a pharmacy management system cost in Saudi Arabia?

Market guides put cloud invoicing and POS subscriptions at SAR 19–999 a month. A custom system with us starts from SAR 18,800, and the final figure depends on branches and integrations. We send the quote in writing within 24 hours.

Is the system compliant with e-invoicing?

Yes. We build invoicing to meet ZATCA’s requirements, including Phase 2 integration when your business is in scope, and we test it before go-live.

Does it alert us before medicines expire?

Yes. The expiry date is recorded with every batch at receiving, and a regular report lists what expires within a period you set, so you can return it to the supplier or discount it before it becomes a full loss.

Does it handle insurance claims?

The system records the insurer and co-pay on each prescription, separates the patient share from the insurer share, and compiles claims and follows up rejections. Electronic links to insurance platforms are built where the authority allows it and the required accreditation is in place, and we define that in the scope.

Does it suit a pharmacy chain with several branches?

Yes, and that is what most justifies a custom system. Each branch has its own stock and staff, and management sees sales, stock and waste across all branches on one dashboard, with transfers between branches and a central store if you have one.

Can customers order through WhatsApp or an app?

Yes. We add an online store or app where customers upload a prescription photo or order beauty and supplement products. The order reaches the pharmacist for review before picking, and customers get status updates on WhatsApp.

Do the code and the data belong to the pharmacy?

Yes. The source code and the database are in your company’s name and the contract says so, with no fees per branch or user. After launch you get fast technical support.
