Real Estate and Property Management System
A property management system records every property, unit, lease and payment in one place, so the property manager knows each morning what is vacant, what is due and what is late. We build it for property management companies, owners with real-estate portfolios, developers and brokerages, and endowment offices. Implementation takes 8 to 14 weeks. Market guides put custom systems for tracking customers and contracts at SAR 25,000–100,000 and integrated platforms with accounting at SAR 50,000–200,000; the number of units, portals and integrations sets the figure. What you get
Property and unit register
Every property with its units, areas, specifications, photos and documents, and its status: leased, vacant, reserved or under maintenance.
Lease contracts
Contract details, term, value, payment schedule and deposit, with an alert before expiry and one-click renewal.
Collections and automatic reminders
Each month’s dues in one list, a WhatsApp reminder before and after the due date, and a receipt sent to the tenant immediately.
Owner statements
Each owner’s income, their property’s expenses, the management commission and the net due, in a periodic statement ready to send.
Maintenance and requests
The tenant reports an issue with a photo, it is assigned to a technician or contractor, and the cost is charged to owner or tenant under the lease.
An owner portal and a tenant portal
Owners see occupancy and collections for their properties; tenants see their lease and payments, pay, and raise requests from their phone.
Sales and reservations
For developers: unit inventory and prices, reservation and deposit, payment plans, and following the buyer through to title transfer.
Lead management
Enquiries from ads, the website and WhatsApp in one list, distributed to agents, with every viewing and offer tracked.
Occupancy and yield reports
Occupancy rate, arrears by age, leases ending within 90 days, and net yield per property.
When Excel stops serving the property manager
At fifty units a tidy spreadsheet is enough. At three hundred units for ten owners the file becomes a risk: a payment recorded on one sheet and missed on another, a lease that expired two months ago with the tenant still on the old rent, and an owner asking for a statement that takes the accountant two days to assemble.
The system makes the lease the single source. From it come the schedule of dues, the reminders, the receipts, the owner statement and the arrears report. Collection no longer depends on someone’s memory, and a rent increase isn’t lost because nobody noticed the renewal date.
Off-the-shelf property software or a custom system?
Ready-made property management software covers the basics: units, leases and receipts. That is enough for an office managing only its own properties in a standard way. Start there if that is you.
A custom system shows its value in three situations. First, managing other people’s property, where the commission, deductions and payout date differ from owner to owner. Second, combining leasing, sales and development in one company. Third, when you want a portal under your own name for owners and tenants, so that transparency itself becomes what wins you new owners. And with a custom system the price doesn’t rise with every unit you add to the portfolio.
Ejar, e-invoicing and accounting
Rental contracts in Saudi Arabia are documented through the Ejar platform, and the system we build neither replaces it nor claims to. Its job is everything after documentation: follow-up, collection, maintenance, owner accounts and reporting. The documented contract number and details are recorded in the system, and automatic integration is built where the platform offers an interface to your organisation.
If your business issues tax invoices, for commercial rents or management and marketing commissions for example, we build invoicing to meet ZATCA’s e-invoicing requirements. What is and isn’t subject to VAT is for your tax adviser to determine; the system applies the rule to each contract type. Entries flow to your accounting software or to an accounting module inside the system.
- Payment links and settlement by mada and Apple Pay, reconciled automatically against the lease
- WhatsApp reminders for dues and notification of receipts
- Income and expenses per property and owner posted to accounting
- Title deeds and documents archived per property with expiry dates
The owner account: the most exacting part of the system
A property management company holds money that isn’t its own. So the system has to separate clearly the company’s revenue, which is its commission, from owners’ money collected on their behalf. Every riyal collected is attributed to a property and an owner, and every maintenance expense is deducted from the right party with a document attached.
When an owner opens the portal and sees collections, expenses, the net figure and past transfers without having to call, queries drop and confidence rises. In property management that is worth more than any advertisement.
What to prepare before the first meeting
The system is only as good as its opening data. Migrating incomplete leases or unreconciled balances means the first owner statement comes out wrong, and trust in the system is gone in its first week.
- The list of properties and units and their current status
- Active leases with payment schedules and arrears balances
- Owner agreements: commission rate, what is deducted, and the payout date
- The receipt, statement and contract templates you use today
- Your current accounting software and the monthly reports you need
Common mistakes and how to compare quotes
The most common mistake is building a leasing system and then trying to squeeze sales and development into it later. List all your activities from the start, even if they are delivered in phases, so the database is designed for them. The second is ignoring mobile: the collections officer, the technician and the tenant all work from a phone.
When comparing, ask: is there a fee per unit or per user? Are the owner and tenant portals included? Is migration of current leases covered? Are the code and database in my name? And are payments tied to delivery stages I can see working?

Frequently asked questions
How much does a custom property management system cost?
Market guides put custom systems for tracking customers and contracts at SAR 25,000–100,000, integrated systems for a mid-sized business at SAR 30,000–150,000, and platforms combining CRM, accounting and portals at SAR 50,000–200,000. These are market ranges, not our price. We send a written quote within 24 hours once we know the size of the portfolio and your activities.
Is the system connected to Ejar?
The system doesn’t replace Ejar; contract documentation stays there. We record the documented contract number and details in the system and build collection and follow-up on them. Automatic integration is implemented where the platform offers an interface to your organisation, and we check that before signing instead of promising something that isn’t ours to give.
Does it remind tenants of payments automatically?
Yes. The system sends a reminder by WhatsApp or SMS a set number of days before the due date, again on the due date, and again when payment is late, with a payment link if you enable it. On payment the tenant receives the receipt immediately, and the collection appears in the owner’s statement.
Does it produce a statement for each owner?
Yes. A periodic statement per owner shows rent collected, maintenance and service expenses with their attachments, the management commission, the net due and what has been transferred. The owner can view it in the portal at any time instead of waiting for month-end.
Does it work for developers and sales?
Yes. We build a sales module showing unit inventory, prices and status, and managing reservation, deposit, payment plans and follow-up through to title transfer, with lead management and distribution to the sales team. It can run alongside the leasing module on the same database.
Can tenants pay online?
Yes. The tenant pays from the portal or from a link, by mada, Apple Pay or card, and the payment is recorded against the lease automatically with a receipt issued. Manual entry remains available for bank transfers and cash, with the slip attached.
Does it handle maintenance requests?
Yes. The tenant submits a request with a photo; it is categorised and assigned to an in-house technician or a contractor, and tracked to closure and the tenant’s rating. The cost is charged to the owner or the tenant under the lease and appears in the statement with no second entry.
Can leases be migrated from Excel?
Yes. We migrate properties, units, tenants, active leases and arrears balances from Excel or previous software. Before go-live we reconcile each owner’s balance with you, because the first statement out of the system has to be right.
How long does implementation take?
8 to 14 weeks. We start with properties, leases, collections and owner statements, then maintenance and portals, then sales and advanced reporting if you need them. The delivery date is written into the contract and we keep it, with fast technical support after launch.
Do I own the code and the data?
Yes. The code, database and hosting accounts are in your name and the contract says so. There are no fees per unit or user, and you can develop the system later with any team you choose.
