Gym and Sports Club Management System
Gym management software runs members, memberships, renewals, access, classes, trainers and payments in one system, so the club knows whose membership ends this week and who has stopped coming before it loses them. We build it for gym chains, ladies’ clubs, fitness studios and sports academies. Implementation takes 6 to 12 weeks. Market guides put a custom booking platform at SAR 30,000–90,000, a custom integrated system for a mid-sized business at SAR 30,000–150,000, and a member app on iOS and Android at SAR 60,000–170,000, depending on branches, devices and integrations. What you get
Memberships and packages
Monthly, quarterly and annual plans, visit-based packages, family and corporate memberships, and a different price per branch or time of day.
Freeze, transfer and upgrade
A freeze with an allowed number of days and a reason, transfer of a membership to another member for a fee, and upgrades with the difference calculated automatically.
Access and membership check
A QR code on the member’s phone or a card that checks the membership is valid for that branch and time, with turnstile integration where the device allows it.
Class timetable and booking
Group classes with a trainer, room and capacity, booking from the app with a waiting list, and a rule for no-shows.
Trainers and private sessions
Personal training packages by number of sessions, a schedule per trainer, a session deducted on attendance, and commission calculated at month-end.
Renewals and automatic reminders
A WhatsApp message before the membership ends with a payment link, and a daily list for the sales team of members who lapsed without renewing.
Sales and leads
Every enquiry and trial visit in one list, shared out among sales staff and followed up to sign-up, with commission per employee.
Payments and invoices
Payment by mada and Apple Pay at the branch and in the app, an annual membership split into instalments, and a tax invoice for every transaction.
Retention and attendance reports
Active members, renewal rate, who hasn’t attended in two weeks, peak hours per branch, and revenue per package and trainer.
A club profits from renewals, not sign-ups
Signing up a new member is expensive: advertising, a trial visit, a sales commission. The real profit comes when they renew. Yet most clubs learn a member has left only after the fact, when the membership ends and the phone goes unanswered. The signs were there weeks earlier: visits fell from four a week to one, then stopped.
The system turns those signs into a task list. Every entry is logged, so each morning shows who hasn’t attended in ten days, whose membership ends within two weeks, and who froze and never came back. The trainer or receptionist calls at the right moment, and the member gets a reminder with a renewal link. That is the difference between a club that refills its floor with advertising every month and one that keeps its members.
Ready-made gym software or a custom system?
There are plenty of ready-made gym management products covering memberships, access and class booking on a monthly subscription. For a single gym or a small studio with ordinary packages, they are the cheaper and faster choice. Just check they support Arabic, local payment methods and the tax invoice.
A custom system earns its cost with a chain and with particular needs. Branches with memberships that move between them, men’s and ladies’ sections with separate timetables and permissions, children’s academies with levels, assessments and contact with parents, trainer and sales commissions on your own rules, or an app under your brand that is the member experience itself. You own the code and the member data, and the price doesn’t rise with every branch or every thousand members.
What the first version contains
The first version covers what the receptionist does every day and what the manager needs to see where the club stands. Then we add the member app, class booking, private sessions and retention reports.
- The member profile with memberships, photo and documents
- Packages and prices, freezes and renewals
- Entry check by QR code or card
- Payment, receipts and the tax invoice
- WhatsApp renewal reminders, and a report of lapsed and active members
Connecting to gates, payment and WhatsApp
Entry gates, fingerprint devices and card readers differ widely between manufacturers. Some offer an API the system can control, opening only for a valid member; others are closed. We review your devices before signing. Where integration isn’t possible, the practical alternative is a screen at reception that checks the member’s code and shows their photo and membership status.
Online payment goes through a licensed payment gateway supporting mada and Apple Pay. Automatic recurring billing for monthly memberships depends on what your gateway offers, so we confirm it with them before building on it. Invoices meet ZATCA’s e-invoicing requirements. Member data, especially health details such as measurements and injuries, is personal data that we protect with permissions and encryption in line with the Personal Data Protection Law.
- WhatsApp messages: welcome, renewal reminder, class booking confirmation
- Daily revenue posted to accounting software
- A point of sale for the shop and café inside the club, charged to the member’s account
- A sign-up form on the website or a campaign landing page
Migrating members and going live
What moves: the member list with details, active memberships with their start and end dates and remaining freeze days, unused private session balances, and amounts outstanding on instalments. We reconcile a sample with your team, because a member turned away on day one over a wrong date is an experience they won’t forget.
We go live in one branch, and reception works on the system for two weeks with the old file kept for reference only. Then access codes are issued to members by WhatsApp or the app, and the rollout continues to the other branches. Reception, sales and trainers are each trained on their own screens.
Common mistakes in gym systems
The first mistake is focusing on sign-ups and neglecting retention. A system that doesn’t tell you who has stopped attending is an electronic membership ledger and nothing more. The second is freeze and transfer rules left open with no permissions, a quiet loss when staff extend memberships for whoever they like.
The third is relying on a closed access device that talks to no other system. Ask about its API before you buy it. When comparing software quotes, ask: is the price per member or per branch? Is the app under my brand or a shared app? Who owns the member data if I change vendor?

Frequently asked questions
How much does gym management software cost?
Market guides put a custom booking platform at SAR 30,000–90,000, a custom integrated system for a mid-sized business at SAR 30,000–150,000, and a member app on iOS and Android with an admin panel and payment at SAR 60,000–170,000. These are market ranges, not our price. We send a written quote within 24 hours once we know your branches, members and devices.
Does it connect to gates and access devices?
We integrate where the access device offers an API, so the gate opens only for a member with a valid membership, at their branch and within their allowed hours. Devices differ widely, so we review yours before signing. If integration isn’t available, we use a QR check on the reception screen, which does the same job.
Does it remind members to renew automatically?
Yes. The system sends a WhatsApp message ahead of expiry at an interval you set, with a payment link to renew, and a second message on the day. Anyone who doesn’t renew appears on a daily follow-up list for the sales team. You can also attach a special offer for renewing before expiry.
Does it support class booking and private sessions?
Yes. Group classes have a weekly timetable with a capacity per class, booking and cancellation from the app, and a waiting list. Personal training has packages by number of sessions deducted on attendance, a schedule per trainer, and a report of their sessions and commission. Members see their balance and bookings on their phone.
Does it suit ladies’ clubs and separate sections?
Yes. Each section can have its own timetable, trainers, packages and staff, with permissions so each team sees only its own members. Management still gets consolidated reports. Member photos and documents are subject to specific viewing permissions and a log of who opened them.
Does it support automatic monthly billing?
That depends on the payment gateway. Some licensed gateways allow a saved card and recurring charges with the customer’s consent; some don’t offer it for every payment method. We confirm this with your gateway before building on it. The dependable alternative is a payment link sent to the member before each due date.
Does it work for children’s academies?
Yes. We add what an academy needs: groups by age and level, attendance per session, periodic assessment by the coach, and a parent account showing the timetable, assessments and payments, with notifications. More than one child can be linked to one parent.
When is ready-made software enough?
If you have a single gym or studio with ordinary packages and need neither an app under your brand nor special commission rules, ready-made software on a monthly subscription is enough and cheaper. Custom suits chains, clubs with several sections, academies, and anyone who wants to own their member data and app experience.
How long does implementation take?
6 to 12 weeks. We start with members, memberships, access and payments in one branch, then classes, trainers and reminders, then the app and reports. The delivery date is written into the contract and we keep it, and reception and sales are trained before go-live.
Do the code and the member data belong to the club?
Yes. The source code, the database, and the hosting and app store accounts are in the club’s name, and the contract says so. There are no fees per member or branch. After launch you get fast technical support, and you can later develop the system with any team you choose.
