Hotel and Serviced Apartment Management System
A hotel management system runs reservations, the room chart, the front desk, housekeeping, the guest folio, invoices and reports in one place. We build it for serviced apartments, independent hotels and small hospitality groups whose way of working ready-made software doesn’t cover, and we also build direct booking websites and owner portals on top of an existing hotel system. Implementation takes 10 to 16 weeks. Market guides put a website with online booking at SAR 12,000–30,000, a custom booking platform at SAR 30,000–90,000, and a custom integrated system for a mid-sized business at SAR 30,000–150,000. Who is this for?
- Serviced and hotel apartments combining nightly and monthly stays
- Small and mid-sized independent hotels
- Hospitality groups running several properties that need consolidated reports
- Companies managing units owned by several owners, with a statement for each
- Properties that want direct booking from their own website alongside booking platforms
What you get
Room and reservation chart
All rooms along a timeline, colour-coded by status, with reservations created, extended and moved by drag and drop, and no double booking across channels.
Front desk, check-in and check-out
Guest and companion details and documents recorded, the room handed over or changed, and check-out with the account settled and the invoice printed.
Rates and seasons
A rate per room type, day and season, corporate and group rates, and weekly and monthly rates for longer stays.
Housekeeping
Each room’s status: clean, dirty, being cleaned, out of service. A daily task list on the attendant’s phone, and the front desk sees a ready room at once.
Guest folio and invoices
The stay and extras such as laundry, restaurant and parking on one account, advance payments and deposits, and a tax invoice at check-out.
Direct booking from your website
A booking engine under your brand that shows availability and price and takes payment, so a returning guest books with you with no platform commission.
Monthly stays and contracts
A long-stay contract with recurring payments and reminders, included and excluded services, and renewal or move-out with the deposit settled.
Maintenance and issue reports
A report from the front desk or an attendant with a photo, assigned to a technician, and the room is taken off sale until it is closed.
Occupancy and revenue reports
Occupancy, average daily rate and revenue per available room, booking sources, and a day-close report for the accountant.
What wears a small hospitality business down
A room is a product that spoils every night: what isn’t sold tonight can’t be sold tomorrow. Yet many properties lose nights not for lack of demand, but because a room stayed “dirty” in the system two hours after it was cleaned, or a platform booking never reached the front desk’s book and the room was sold twice, or a monthly guest fell behind and nobody reminded them.
Serviced apartments have their own complexity: nightly and monthly stays in the same building, units owned by investors waiting for a statement, and extras that never make it onto the bill. The system makes the room chart the single truth that the front desk, housekeeping, maintenance and the accountant all work from.
Ready-made hotel software or a custom system?
Ready-made hotel management products are mature and numerous, and many already connect to the international booking platforms. For a hotel run in the usual way, ready-made software is the right choice in most cases, and building a replacement from scratch is money badly spent. We will tell you so in the first meeting.
A custom system makes sense when your property doesn’t look like a standard hotel: serviced apartments mixing nightly and monthly stays with contracts and instalments, units owned by several owners with a management fee and statements, a group that wants consolidated reports its own way, or special pricing and service rules. There is also a middle route we build often: you keep your ready-made hotel software and we build around it the direct booking site, the owner portal, the housekeeping app and the reports, connected to it where it offers an interface.
What the first version contains
The first version is what the front desk needs to run a day and a night without paper, and what the accountant needs to close the day. Then we add direct booking, long stays, owner portals and advanced reports.
- Rooms, room types, rates and seasons
- The reservation chart, check-in, check-out and room changes
- Room status and the housekeeping task list on a phone
- The guest folio, payments and the tax invoice
- Occupancy and revenue reports and the day close
Booking platforms, payment and regulatory requirements
Most properties sell through booking platforms such as Booking.com and others. Availability and rates on those platforms are normally updated through a channel manager, an intermediary service on its own subscription. We connect the system to the channel manager you choose where it offers an interface, so available rooms drop on every channel with each booking. We tell you before we start what is actually available, and we don’t promise a direct connection to a platform whose terms we haven’t verified.
Hospitality is a licensed activity, with requirements covering how guest details are recorded and reported to the competent authorities. What applies to your property is for you to confirm with the regulator; the system implements what you decide, and integration with any official system is built where an interface is available to your business. Invoices meet ZATCA’s e-invoicing requirements, and payment by mada and Apple Pay goes through a licensed payment gateway. Guest details and documents are personal data, protected with permissions, encryption and an access log in line with the Personal Data Protection Law.
- Channel manager and booking platforms: where an interface is available
- Electronic door locks: key issued from the front desk if the lock provider allows it
- Restaurant and laundry points of sale: charges posted to the room account
- Accounting software: revenue and payments posted daily
Migrating reservations and switching without closing
A hotel doesn’t close to change its system. On the night of the switch there are guests in the rooms and reservations in the book for months ahead. So before go-live we migrate rooms and rates, in-house guests with their balances, future reservations, monthly stay contracts, and guest and company records.
We pick a low-occupancy night and reconcile the in-house list and balances room by room with the front office manager before the first shift on the new system. Each team is trained only on its own screens: the front desk on reservations, check-in and check-out, housekeeping on the task list, the accountant on the day close. And we stay close during the first shifts.
Common mistakes when choosing a hotel system
The first mistake is custom-building what ready-made software already does well. Build only what makes your way of working different. The second is neglecting distribution: a handsome system that doesn’t update the booking platforms means a double booking in the first busy season. The third is neglecting mobile, because a room attendant and a maintenance technician don’t sit at a computer.
When comparing quotes, ask: is the price per room or per user? Is the channel manager connection included, and who pays its subscription? Is the direct booking engine included? Who owns the guest data? Can I export all my data if I change vendor?

Frequently asked questions
How much does hotel or serviced apartment software cost?
Market guides put a bilingual website with online booking at SAR 12,000–30,000, a custom booking platform at SAR 30,000–90,000, and a custom integrated system for a mid-sized business at SAR 30,000–150,000. These are market ranges, not our price. We send a written quote within 24 hours once we know the number of rooms and properties and what you want connected.
Should I just buy ready-made hotel software?
If your hotel runs the usual way, yes: ready-made software is usually the better and faster fit, and we won’t suggest building a replacement. Custom suits serviced apartments with monthly stays, units owned by several owners, and groups with special requirements. We can also build only what your ready-made software lacks, around it.
Does it connect to Booking.com and other booking platforms?
Connection to booking platforms normally goes through a channel manager, an intermediary service with its own subscription. We connect the system to the channel manager you choose where it offers an interface, so availability and rates update on every channel automatically. We verify what is available before signing and write it into the scope, and we claim no partnership with any platform.
Does it suit serviced apartments with monthly rent?
Yes, and this is one of the cases that most often justifies a custom system. It manages nightly and monthly stays on the same room chart, with a long-stay contract, recurring payments, automatic reminders, a deposit and settlement at move-out, and extras charged to the resident’s account.
Does it produce statements for unit owners?
Yes, if you manage units for other owners. Each unit’s revenue is attributed to its owner, its expenses and the management fee are deducted according to their agreement, and a periodic statement shows the net amount. The owner can also see their unit’s occupancy and revenue in a private portal.
Is the system compliant with e-invoicing?
Yes. We build tax invoices with a QR code in the required format, and integration with the Fatoora platform for businesses in the integration phase. What is taxable and which charges are added to a stay is for your accountant or tax adviser to determine; the system applies the rule to every invoice.
Does it meet the authorities’ guest registration requirements?
We build the guest registration fields and forms around what your property confirms with its regulator. Automatic integration with any official system is built where an interface is available to your business, and we verify that before signing. We don’t give regulatory advice, and we don’t claim accreditation from any body.
Does housekeeping work from a phone?
Yes. The attendant sees the day’s rooms by priority: departure, stay-over, special request. They change the status with one tap when done, report a maintenance issue with a photo, and log lost property. The front desk sees the room as ready the moment cleaning is finished.
How long does implementation take?
10 to 16 weeks depending on modules and integrations. We start with the room chart, front desk, guest folio and invoices, then housekeeping and maintenance, then direct booking, integrations and reports. The delivery date is written into the contract and we keep it, and the switch happens without closing the property.
Do the code and the guest data belong to the property?
Yes. The source code, the database, and the hosting and domain accounts are in your property’s name, and the contract says so. There are no fees per room or user. After launch you get fast technical support, with the option of a support contract covering front desk shifts.
