Law Firm Management System

Management System for Law Firms and Legal Practices

A law firm management system keeps cases, hearings, statutory deadlines, clients, documents and fees in one file per case, so no hearing, deadline or payment is missed. We build it for law firms and legal practices, in-house legal departments, and collection and notarial offices. Implementation takes 6 to 12 weeks. Market guides put custom systems for managing clients and files at SAR 25,000–100,000 and integrated platforms with accounting and portals at SAR 50,000–200,000, depending on users, branches and integrations. Who is this for?

  • Law firms managing dozens or hundreds of open cases
  • In-house legal departments tracking litigation, contracts and outside counsel
  • Collection offices handling large volumes of similar claims
  • Sole practitioners whose work is growing and who need structure before hiring
  • Arbitration, notarial and advisory offices with many dates and documents

What you get

Case file

Parties, court, circuit, case number, type and stage, with all its hearings, memoranda, documents and fees.

Hearings and statutory deadlines

A calendar per lawyer and for the firm, with staged alerts before each hearing and before objection, appeal and enforcement periods lapse.

Clients and powers of attorney

The client’s file with cases and contracts, and powers of attorney with numbers, scope and expiry dates, alerted before they lapse.

Document archive

Memoranda, deeds, contracts and correspondence filed against the case, with versions, full-text search and access permissions.

Tasks and work allocation

Tasks assigned to lawyers, trainees and clerks with due dates, and tracking of what is done and overdue per case and person.

Fees and payments

Fixed, staged, percentage-based or hourly fees, a payment schedule per engagement, and reminders for what is due.

Time and expense recording

Hours worked on each case and its expenses, from court fees to travel, for billing or for measuring case profitability.

Client portal

The client sees the case status, the next hearing date and the documents they are allowed to view, and pays instalments.

Firm reports

Cases by type, stage and lawyer, fees collected and overdue, and workload per lawyer.

A missed deadline is the most expensive mistake in a law firm

In most professions an organisational slip costs money. In law it can cost the client’s right and the firm’s reputation. A hearing nobody attended because the date sat in the calendar of a lawyer on leave, or an objection period that ran out while the memorandum was still a draft. The more cases there are, the more the firm leans on individual memory and WhatsApp groups.

The system makes the date belong to the firm, not the individual. Every hearing and deadline is recorded against the case, has an owner and a backup, and staged alerts that go to the lawyer and then to the partner if no action is taken. Each morning the partner sees what falls due this week across the whole firm.

Off-the-shelf legal software or a custom system?

Ready-made legal software suits the sole practitioner and the small office: cases, hearings and alerts for a reasonable subscription. If it covers your work, start there.

Custom suits a firm with its own way of working: its own classification of cases and stages, memorandum and contract templates filled from case data, compound fee arrangements, departments with different permissions, or collection cases in the hundreds that need batch handling. It also suits anyone who cares where client files are stored: with a custom system, the server and database sit in accounts in the firm’s name, which sits well with the duty of professional confidentiality.

Najiz, e-invoicing, accounting and WhatsApp

Judicial services in Saudi Arabia are delivered through the Ministry of Justice’s Najiz portal, and the system we build doesn’t replace it. Its role is to organise the firm’s work around it: the case number, details and dates are recorded in the system, and alerts and follow-up are built on them. Automatic integration is implemented only where the platform offers an interface to your organisation; otherwise the date is entered once and the system does the rest.

Legal fees are invoiced, so we build invoicing to meet ZATCA’s e-invoicing requirements for businesses in scope, and post entries to your accounting software or to an accounting module inside the system. Over WhatsApp the client receives appointment reminders, hearing notices and a payment link, in wording the firm approves.

  • Case and request numbers recorded as they appear in Najiz
  • E-invoices for fees and instalments
  • Hearings synced to each lawyer’s phone calendar
  • WhatsApp notices to the client, as approved by the firm

Confidentiality and permissions

Case files hold sensitive personal, financial and commercial data, and the duty of professional confidentiality is now joined by the Personal Data Protection Law. We build permissions at case level: only the case team sees it, and a specific case can be hidden even from the rest of the firm where there is a conflict of interest.

Every time a document is opened, downloaded or changed it is logged. Data is encrypted and backed up daily, and can be hosted in the region on request. What the profession’s rules require of you is for you to determine, and we implement it technically.

What to prepare before the first meeting

We need to see how a case moves through your firm, from the client’s first call to closing the file and collecting the last instalment.

  • The list of open cases with types, stages and the person responsible for each
  • Your fee agreement templates and the fee methods you use
  • The firm’s structure: partners, lawyers, trainees and admin staff, and each group’s permissions
  • How documents are stored today and roughly how much there is
  • The reports partners ask for each month

Common mistakes and how to compare quotes

The first mistake is buying a system and leaving lawyers to their habits. If dates are still passed around on WhatsApp, the system is an archive and nothing more. The firm’s official calendar has to be the system from day one. The second is uploading the entire old archive unclassified, which makes it harder to search than paper.

When comparing, ask: where are client files stored, and in whose name? Is there a fee per user? Is migration of open cases included? Does search work inside the text of Arabic documents? And is the client portal part of the price or an extra?

Frequently asked questions

How much does a law firm management system cost?

Market guides put custom systems for managing clients and files at SAR 25,000–100,000, and integrated platforms with accounting and portals at SAR 50,000–200,000. These are market ranges, not our price. The figure depends on users, departments, the archive and the client portal, and we send it in a written quote within 24 hours.

Is the system connected to Najiz?

The system doesn’t replace Najiz or provide its services. Case numbers and dates are recorded in it as they appear in Najiz, and it handles alerts, follow-up and work allocation. Automatic integration is implemented only where the platform offers an interface to your organisation, and we check that before signing instead of promising something that isn’t ours to give.

Does it alert us to hearings and deadlines?

Yes. Every hearing and deadline has staged alerts at intervals you set, sent to the responsible lawyer in the system, by email and on WhatsApp. If no action is recorded a day before the date, the alert escalates to the supervising partner, so nothing hangs on one person.

Does it support different fee arrangements?

Yes. Fixed fees, fees split across case stages, a percentage of the amount awarded or collected, hourly billing, or a monthly advisory retainer. Each engagement has its payment schedule, and the system reminds you of what is due, issues the invoice and shows what is overdue.

Can the client follow their case?

Yes, to the extent the firm allows. The client logs in to the portal and sees the case status, the next hearing date, a summary of progress, the documents the lawyer has released, and their payments. It cuts down enquiry calls, and the lawyer stays in control of what is shown.

Are client files secure and confidential?

We apply case-level permissions, encryption, daily backups, and a log of every access and download. Specific cases can be hidden from anyone outside the case team. The server and database sit in accounts in the firm’s name, and hosting in the region is available on request.

Does it suit in-house legal departments?

Yes. For a legal department we add contract tracking with renewal dates, advice requests coming in from other departments, cases assigned to outside firms and their cost, and a risk and claims report for senior management.

Can current cases and documents be migrated?

Yes. We migrate clients, open cases and their dates from Excel or previous software, and upload documents filed against their cases. We agree with you in advance which closed cases are migrated and which stay in a separate archive.

How long does implementation take?

6 to 12 weeks. We start with cases, hearings and alerts because they matter most, then documents and tasks, then fees, invoices and the client portal. The delivery date is written into the contract and we keep it.

Does the firm own the code and the data?

Yes. The code, database and hosting accounts are in the firm’s name and the contract says so, with no per-user fees. After launch you get fast technical support, and you can develop the system later with any team.
