An internal AI assistant that knows your company and respects its permissions
An internal AI assistant is a private chat for your employees that answers their questions from company policies, procedures and documents, and reads from company systems such as sales, projects and HR, while respecting each employee’s permissions so they only see what they are entitled to. It suits mid-sized and large companies whose staff lose time searching for information or waiting for the one colleague who knows. Delivery usually takes 4 to 10 weeks, and the cost depends on the number of knowledge sources, connected systems, users and hosting requirements. We send a written quote within 24 hours.

Who is this for?
- Companies with many policies and procedures that employees keep asking about
- Managers who want sales figures or project status without waiting for a report
- HR teams answering the same questions about leave and allowances every day
- Companies that hire a lot and need faster onboarding
- Support teams digging through long manuals and documents to solve customer issues
What you get
Answers from company documents
Policies, manuals, contract templates, meeting minutes and the knowledge base: the assistant answers from them and cites the source for every answer.
Reads from company systems
A manager asks “How many deals closed this month?” or “Which projects are late?” and the assistant answers straight from the system with today’s numbers.
Every employee’s permissions
The assistant inherits the user’s permissions in each system, so a salesperson never sees HR salaries and no one sees another department’s data.
Arabic first
Questions in colloquial Arabic and answers in clear Arabic, with English support for multinational teams.
Where the assistant lives
Inside the employee portal, on WhatsApp, or in Microsoft Teams or Slack, wherever your team actually works.
Log and review
A question log reveals what employees look for and cannot find, so you know where documents are missing or procedures are unclear.
Actions with approval
Beyond answering, the assistant can create a request, a task or a draft email, with the employee confirming before anything runs.
The knowledge exists, but nobody can find it
In most companies, policies and procedures sit in scattered files, numbers live in different systems, and expertise lives in the heads of a few people. So employees ask colleagues, managers wait for reports, and decisions slip. An internal assistant puts these sources behind one interface: a question in plain language, an answer with its source.
Unlike general-purpose AI tools, an internal assistant knows your company specifically, reads from its systems with today’s numbers, and does not send your data to tools you do not control. Employees do not need to learn a new system; they ask the way they would ask an expert colleague.
The impact goes beyond saving time. When the answer is available to everyone from the same source, individual guesswork and policy mistakes go down, and an employee in Riyadh gets the same answer as one in Jeddah. And when an experienced employee leaves, their knowledge stays in the documents the assistant answers from instead of leaving with them.
Examples of questions it answers
Questions vary by role, but they share one thing: they repeat, and the answer already exists somewhere inside the company. Here are examples of the kinds of questions an assistant is usually designed for:
- Employee: How much leave do I have left? How do I apply for a housing allowance?
- Sales manager: Which deals has nobody contacted in the past week?
- Project manager: Which tasks are late on this project, and who owns them?
- New hire: Who do I talk to about company equipment? Where is the system user guide?
- Support: What are the steps to fix this issue according to the manual?
Permissions first: the decision that makes or breaks the project
The biggest danger with a poorly designed internal assistant is that it tells an employee something they are not allowed to see. So we build the assistant to read from systems using the user’s own identity and permissions, not a shared account that sees everything. Whatever an employee cannot open in the system, the assistant cannot tell them.
For documents, we set who may search each document group: the payroll policy for HR and management, the sales playbook for the sales team, and general policies for everyone.
- The user’s identity travels with every question to the systems
- Permissions at the document-group level
- A clear refusal for out-of-permission questions instead of silently ignoring them
- A complete log of questions and answers for review
Where to start
We do not start with everything. We pick one use case with a clear audience and a recurring question, such as employee questions about HR policies or managers’ questions about daily sales figures. We build an assistant for it that works within weeks, measure usage and satisfaction, then add sources gradually.
This approach avoids the big project that takes months and then nobody uses, and gives management early proof of value before expanding.
We measure success with simple numbers: how many employees use the assistant each week, the share of questions answered from an approved source, how employees rate the answers, and the drop in repetitive questions reaching HR or internal support. These numbers tell you where to expand next, and which documents need updating before anything else.
What you need to prepare
A list of approved documents and where they live, with old conflicting versions removed, because the assistant will answer from whatever you give it. A list of the systems it should read from, and a technical owner on your side who can grant integration access. And a set of real questions your employees ask, so we can test against them before launch and measure answer quality in numbers.
Cost and hosting
The cost has a build part, set by the number of sources and systems and the complexity of permissions, and a running part, set by the number of users, usage volume and the model used. For companies that require data to stay in the region, we design the hosting accordingly and explain its effect on options and cost.
The code, accounts and documents belong to your company, and the model provider can be changed later without rebuilding the assistant, so your company is not locked into one provider forever.
When comparing quotes, ask each provider: does the assistant read with the employee’s identity or a shared account? Does it cite a source for every answer? Who owns the indexes and logs? How much does the monthly cost change if the number of users doubles? Can the model be swapped without a rebuild? The answers reveal the difference between an enterprise assistant and a generic chat interface with your logo on it.

Frequently asked questions
How much does an internal AI assistant cost?
The price depends on the number of knowledge sources, connected systems, the complexity of permissions, the number of users and hosting requirements. We usually start with a single use case at a contained cost, then expand based on actual usage. We send a written quote within 24 hours after a session where we define the use cases, sources and systems.
Does company data go to public AI tools?
We do not use consumer chat tools. We work with models through enterprise APIs where your data is not used to train models, hosting can be designed to keep data in the region on request, and we follow the Personal Data Protection Law (PDPL). We document the full data path for your legal or technical team to review.
How does the assistant stop an employee from seeing data that is not theirs?
The assistant reads from systems with the employee’s own identity and permissions, so whatever they cannot open in the system, the assistant cannot tell them. Documents have permissions by group. We test this with deliberate questions from different accounts before launch and hand you the test results in writing.
How is it different from ChatGPT?
General tools do not know your company’s policies or read from its systems, and they can move data out of your control if employees use them with personal accounts. An internal assistant answers from your documents and current numbers, cites the source, respects each employee’s permissions and works inside the tools your team uses every day.
Can the assistant work on WhatsApp?
Yes, with the employee verified by the number registered in the company system and the same permissions applied as inside the system. It can also run in the employee portal, Microsoft Teams or Slack, wherever your team actually works, with the same answers and permissions on every channel.
What if the assistant gives a wrong answer?
Every answer cites its source, so employees can verify it themselves in one click. We set the assistant to say it does not know rather than guess. Questions it could not answer or that were corrected appear in the log, so we improve the documents or settings accordingly, and errors decrease over time.
Does the assistant need constant updating?
Numbers from systems are read at the moment of the question, so they need no updating. Documents are indexed automatically when added or edited in the agreed place, such as a shared folder or the knowledge base. Your team just needs to keep approved documents up to date and remove old conflicting versions.
How long does launch take?
A single use case with one or two sources can launch in 4 to 6 weeks. Integrating several systems with fine-grained permissions can extend that to 10 weeks. We launch to a pilot group of employees first, gather their feedback, then roll out to the rest of the company.
Does the assistant help onboard new employees?
Yes, and it is one of the clearest use cases. New hires ask dozens of questions in their first weeks about procedures, systems and who is responsible for what, and many hesitate to ask colleagues. The assistant answers them any time from approved guides with the source cited, easing the load on their direct manager and HR.
Can the assistant take actions, not just answer?
Yes, within limits you set. It can create a leave request, a task in the project system, a draft email to a customer or a reminder. But it shows the action to the employee and asks for confirmation before running it, and every action is logged under the employee who approved it, so nothing happens in your systems without the permission holder knowing.
