AI data extraction from invoices and documents
Document AI reads invoices, contracts, purchase orders, IDs and scanned forms in Arabic and English, extracts the fields you need, validates them, then enters them into your accounting system, ERP or spreadsheet, with a review screen for anything uncertain. It suits finance, procurement and HR teams, and any company that receives a lot of documents by email or WhatsApp. Delivery usually takes 3 to 8 weeks, and the cost depends on the document types, how varied their layouts are, monthly volume and the systems the data goes into. We start with a trial on a sample of your documents and send a written quote within 24 hours.

Who is this for?
- Finance teams receiving supplier invoices in many formats and keying them in by hand
- Procurement teams matching purchase orders against invoices and goods receipts
- HR teams extracting data from IDs, certificates and contracts
- Insurance, logistics and customs-clearance companies handling large volumes of forms and documents
- Organisations with paper or scanned archives they want turned into searchable data
What you get
Reads Arabic and English
Handles bilingual invoices, Arabic and Eastern Arabic numerals, Hijri and Gregorian dates, and documents that are scanned or photographed on a phone.
Extracts specific fields
Invoice number, supplier, VAT number, date, line items, quantities, VAT and total, or any fields your document needs.
Automatic validation
Checks line items add up to the total, validates the VAT number format, catches duplicate invoices and compares prices against the purchase order.
Human review screen
Documents the system is unsure about go to a staff member with the fields highlighted on the image; they correct in a click, and corrections feed back into the rules.
Intake from any source
A dedicated email address, a shared folder, a WhatsApp message or direct upload, so suppliers and staff do not have to change their habits.
Posts into your systems
Approved data is sent to your accounting system, ERP or spreadsheet, with the original document attached to the record.
Searchable archive
Processed documents become searchable by supplier, amount, date or any word in the text.
Why ordinary OCR is not enough
Traditional OCR turns an image into text, but it does not know that this number is the VAT number and that one is the total. And since every supplier’s invoice looks different, you need a template for each layout, which does not hold up with dozens of suppliers changing their designs without notice.
Modern models understand a document the way a staff member does: they read layout and text together and find a field even when it moves. That is what makes automation workable across varied documents without a template for each, especially in Arabic, where older tools struggle with text direction and connected letters.
The practical call: if your documents come in few types with fixed layouts, a simple template-based tool may be enough. If they arrive from dozens of suppliers and agencies, in Arabic and English, at varying quality, AI processing is what makes automation actually worthwhile. Once we see your sample, we tell you honestly which case you are in.
Accuracy and review: how we design for trust
No system reads every document perfectly, and an honest provider designs for that. We give every field a confidence score and add accounting validation rules. Whatever passes validation with high confidence goes straight through; anything in doubt goes to the review screen.
At first the review rate is higher, then it drops as staff corrections come in and the rules are tuned. We measure accuracy on a sample of your documents before launch and share the results in numbers, so you decide on evidence, not promises.
- A confidence score for every field, not just the document as a whole
- Validation rules: line-item totals, VAT rate, VAT number format, duplicates
- A complete log: who reviewed, who edited and when
Common use cases
Supplier invoices are the most common starting point, because volumes are high and the validation rules are clear. Next come three-way matching of purchase order, invoice and goods receipt, reading bank statements for reconciliation, and extracting contract terms such as renewal dates and penalties so management is alerted before they fall due.
In HR it helps read data from IDs, iqamas and certificates during hiring, and reminds management when documents are about to expire. In archives it turns thousands of scanned pages into a searchable library, where staff find an old contract or invoice in seconds instead of hours in the files.
In logistics and customs clearance it reads bills of lading, certificates of origin and packing lists and matches them with shipment data in the system. In clinics and insurance companies it reads claim forms and attached reports and prepares them for review. The common thread: a recurring document, known fields, and a staff member spending their time copying them by hand.
A document’s journey from inbox to ledger
A supplier emails their invoice to a dedicated address as usual. The system picks it up, reads the fields, matches them against the purchase order and goods receipt, and checks the VAT number and totals. If everything matches, the entry is created in the accounting system with the invoice image attached, and the accountant gets a notification to approve.
If the system finds a discrepancy, such as a price above the purchase order or a quantity above what was received, the invoice goes to the review screen with a clear reason and the owner is alerted. That way the team spends its time not on data entry but on the exceptions that genuinely need human judgement.
What to prepare for the first trial
We ask for a sample that reflects reality: 30 to 100 documents of the type in question, in their different layouts and real quality, including the poor images. We also ask for the list of fields you need, the system the data will go into, and who will review.
We give you the trial results: the share of fields extracted accurately, what needs review, and the expected monthly time saving. On that basis you decide whether to proceed.
A common mistake is sending only the cleanest, clearest copies for the trial, so the results look optimistic and accuracy then drops on real documents. We would rather see the worst of what you receive: a skewed phone photo, an invoice printed in faded ink, a two-page document. That is what makes the numbers we give you honest.
Privacy and sensitive data
Financial and personal documents are sensitive. We process them in an environment in your company’s name, define access permissions, delete temporary files under an agreed policy, and follow the Personal Data Protection Law (PDPL). Hosting in the region is available on request, and we sign an NDA before receiving any sample if you want.
We design the log so an internal or external auditor can see who posted each entry, who reviewed it and when, with the original document linked to the entry. That way automation supports your financial audit instead of complicating it.

Frequently asked questions
How much does invoice data-entry automation cost?
It depends on the number of document types, how varied their layouts are, monthly volume, the system the data goes into and whether matching against purchase orders is needed. We start with a trial on a sample of your documents to measure accuracy, then send a written quote within 24 hours covering the build and the expected monthly running cost at your actual volume.
Can the system read handwritten Arabic invoices?
It reads printed text with high accuracy, and handwriting with lower accuracy that depends on how legible it is and the image quality. We test this on your sample and tell you the result honestly before any commitment. Handwritten fields usually go to the review screen until accuracy is proven, so unconfirmed data never enters your systems.
Can it connect to our current accounting software?
Yes, if the software accepts input through an API or import files, which most modern software does. We confirm this before quoting, and design the posting so the original document is attached to the entry, so a reviewer or auditor finds the invoice right next to the entry without searching through files.
What accuracy should we expect?
It varies with document quality and variety, which is why we do not promise a figure before the trial. We measure accuracy per field on your sample, and design the system so confirmed data goes straight through and anything doubtful goes to review, so wrong data never gets in unseen. We share an accuracy report with you monthly after launch.
How is this different from OCR software?
OCR only turns an image into raw text. Document AI understands what the fields mean, extracts them into the right place however the layout varies, validates them against accounting rules, matches them with purchase orders and posts them into your system. The difference is between text that needs a person to interpret it and an entry ready for approval.
Does it validate the VAT number and VAT amounts?
Yes. We check the VAT number format, check that the VAT rate and line-item totals match the invoice total, and catch duplicate invoices from the same supplier. Any discrepancy appears for the reviewer with a clear reason, so the accountant knows why the invoice was held without re-checking it from scratch.
Are our documents safe with you?
We process documents in an environment in your company’s name with defined permissions, and never use them for anything outside your project. Hosting in the region is available on request, and we sign an NDA before receiving samples, follow the Personal Data Protection Law (PDPL) and set a clear policy for deleting temporary files.
How long does implementation take?
The trial on your sample takes one to two weeks. A complete system for one document type, with the review screen and integration, usually takes 3 to 5 weeks, and each additional type takes less time because the foundation is in place. We share progress with you weekly through the client portal.
Does it handle ZATCA-compliant e-invoices?
Yes. E-invoices issued under ZATCA (Fatoora) requirements carry structured data and a QR code, so we read the data directly with higher accuracy than reading the image, and use AI reading for paper and scanned invoices. Both kinds flow through the same pipeline and arrive on one screen for review and approval.
What do I need to prepare before the trial?
A sample of 30 to 100 documents that reflects reality, with their different layouts and real quality, a list of the fields you want extracted, the name of the system the data will go into, and the person who will review uncertain cases. You can mask sensitive data in the sample if you prefer, as long as the document layout is still clear.
