Restaurant Management System

Restaurant and Café Management System

A restaurant management system brings together the POS, dine-in, takeaway and delivery orders, the kitchen display, stock and recipe costing, and branch reporting. We build it for restaurant and café chains, cloud kitchens and catering companies that off-the-shelf software no longer fits. Implementation takes 8 to 16 weeks and starts with one branch before rollout. Market guides put a custom integrated system for a mid-sized business at SAR 30,000–150,000, and a restaurant’s own ordering app at SAR 50,000–150,000, depending on branches, channels and integrations. Who is this for?

  • Restaurant and café chains with three or more branches
  • Cloud kitchens running several brands from one kitchen
  • Catering companies working on contracts and daily meal counts
  • Franchisors that need oversight of franchisee branches
  • Restaurants paying high commissions that want a direct ordering channel under their own name

What you get

A fast POS

A touch screen for dine-in, takeaway and drive-through, with modifiers and notes per item, bill splitting and table merging.

Kitchen display

Each prep station receives only its part of the order with a timer, so you know real preparation time and where orders slow down.

Delivery channels on one screen

Orders from delivery apps, your website and your own app in one list, integrated directly where the platform offers an interface.

A central menu

Change a price or pause an item from head office and it applies across every branch and channel, with different prices per channel if you want.

Recipes and cost per dish

Each item’s ingredients by weight, so stock is deducted with every sale and you know the dish’s cost and margin as supplier prices move.

Stock and the central kitchen

Branch requisitions from the central kitchen, transfers, daily counts for sensitive items, and a waste and variance report.

E-invoices and payment

Simplified tax invoices with a QR code that meet e-invoicing requirements, and payment by mada and Apple Pay.

Shifts and till closing

Shifts opened and closed with the float, shortages and overages, and limits on discounts, voids and refunds the cashier can’t exceed.

Branch reports and loyalty

Sales by branch, hour, item and channel, plus a loyalty programme with points and targeted offers for your direct customers.

The problem isn’t the till, it is everything after it

Any POS can print a receipt. The trouble starts afterwards: five tablets for five delivery platforms and a staff member retyping every order, stock counted at month-end with variances nobody can explain, and an owner who doesn’t know which dish makes money and which is sold at a loss since chicken or oil went up.

An integrated system ties the sale to the recipe, the stock and the cost. Every dish sold deducts its ingredients, every supplier invoice updates item cost, and a daily report compares theoretical with actual consumption per branch. Waste and pilferage show up while they are small, not after they have become habit.

Off-the-shelf restaurant software or a custom system?

The cloud POS products on the Saudi market are good for one or two restaurants: quick to start, a monthly subscription, and e-invoicing support. If that is your size, don’t build your own system. That is our advice before any quote.

Custom makes sense with a chain: a central kitchen supplying branches, menus and prices that differ by city and channel, a franchise where you take a percentage of franchisee sales, or a loyalty and direct-ordering app whose customer data you want to own. There is also a common middle path: keep your current POS, and we build stock, costing, consolidated reporting and the app on top and connect them.

Connecting to delivery apps, accounting and WhatsApp

Delivery apps such as HungerStation and Jahez are core sales channels for most restaurants. Some offer an interface for restaurant systems; others require an intermediary or approval. We integrate where the platform allows it, and tell you before signing what is really available for your account and what will stay on the platform’s own device for now.

On the accounting side, each shift’s sales, platform commissions and supplier purchases flow into your accounting software or an accounting module inside the system, and invoices are issued in line with ZATCA requirements. Over WhatsApp, the customer gets an order confirmation and status, and the manager gets a daily sales summary without opening the system.

  • Reconciling what each delivery platform owes you against what it actually paid
  • Sales and purchases posted to accounting automatically
  • Kitchen and receipt printers, cash drawers and payment terminals
  • Direct ordering from your website or app with no platform commission

Working offline and speed at peak

A restaurant whose till stops at peak hour loses sales and reputation. So we build the POS to keep working locally when the internet drops, keep printing to the kitchen, and sync with the server when the connection returns, with no duplicated or lost invoices.

We test the screens with the cashiers themselves before launch: how many taps do the ten most common orders take? If it is more than their current software, the design needs work. Speed at the till isn’t a detail. It is the difference between a queue that moves and a queue that leaves.

What to prepare before starting

The most exacting part of the project is the recipes. Many restaurants have no recipes documented by weight, and this is the moment to write them down, because dish costing rests entirely on them.

  • The current menu with items, modifiers and prices per channel
  • Recipes with ingredients and weights, starting with the best sellers
  • The number of branches, POS devices, printers and payment terminals you have
  • The delivery platforms you work with and your accounts on them
  • Your current accounting software and the reports you want daily

How to compare restaurant system quotes

Compare over three years, not on the first price. Software with a monthly fee per device, per branch and per integration can overtake the cost of a system you own once the chain grows, and can stay cheaper if you remain at two branches. Work out both numbers.

Ask about what usually goes unwritten: are devices and printers included? Who owns customer data and the loyalty programme? Does the POS work offline? What does adding a branch cost? And the classic mistake is going live in every branch on the same day. Start with one, fix what you find, then roll out.

Frequently asked questions

How much does a custom restaurant management system cost?

Market guides put a custom integrated system for a mid-sized business at SAR 30,000–150,000, a restaurant’s own ordering and delivery app at SAR 50,000–150,000, and e-invoicing integration for a multi-branch business at SAR 22,000–45,000. These are market ranges, not our price. We send a written quote within 24 hours once we know your branches and channels.

Is the system compliant with e-invoicing?

Yes. We build simplified tax invoices with the QR code and required format, integrated with the Fatoora platform for businesses covered by the integration phase. Invoices are archived electronically and can be retrieved for any review. When your business becomes obliged is set by ZATCA, which notifies you.

Does it integrate with HungerStation, Jahez and other delivery apps?

We integrate with every platform that offers an interface for restaurant systems, directly or through an approved intermediary, so orders reach one screen and the kitchen with no retyping. Integration terms differ between platforms and change over time, so we check what is available for your account before signing and write it into the scope. We don’t promise an unconfirmed integration.

Does the POS work if the internet goes down?

Yes. The POS is built to keep selling and printing to the kitchen locally when the connection drops, then sync invoices with the server when it returns. What pauses is whatever needs the internet by nature, such as receiving orders from outside platforms.

How is it different from ready-made POS software?

Ready-made software is a monthly subscription and you work its way, which suits one or two branches. A custom system is built around your operation: central kitchen, franchise, per-channel pricing, a loyalty app under your name. You own the code and your customer data, and the price doesn’t rise with every device or branch you add.

Does it calculate dish cost and waste?

Yes, and it is one of the most important modules. You enter each item’s recipe with ingredients and weights; the system deducts stock with every sale and calculates the dish’s cost and margin at current supplier prices. The variance report compares expected consumption with the physical count, exposing waste and shortages per branch.

Does it support a central kitchen and branches?

Yes. The branch orders from the central kitchen, the kitchen prepares and transfers, and the branch receives and confirms quantities. Semi-finished items are costed and feed into the final dish cost, and management sees stock and profitability for each branch separately.

Can we use our existing hardware?

Usually yes. The POS runs on common tablets and touch screens, and we connect existing thermal printers and cash drawers if they follow standard protocols. We review your hardware list at the start and tell you what works and what needs replacing before you buy anything.

How long does implementation take?

8 to 16 weeks depending on modules. We go live in one branch first with POS, kitchen and stock, watch it for two weeks and correct, then roll out to the other branches and add channels and the app. The delivery date is written into the contract and we keep it.

Do we own the code and the data?

Yes. The code, the database, and the hosting and app-store accounts are in your business’s name, including your customer data and loyalty programme, and the contract says so. After launch you get fast technical support, with the option of a support contract that covers the restaurant’s opening hours.
