Staff Training on New Systems
Staff training on systems is a hands-on programme that gets every employee using the new system confidently in their daily work, split by role: the accountant trains on invoices and journal entries, sales on customers and quotes, managers on reports. It suits companies launching a new ERP, CRM, HR system or portal that want it actually used. It usually takes one to 4 weeks depending on the number of roles and branches. The cost depends on the number of trainees, roles and sessions, and the volume of guides and videos required. We send you a written quote within 24 hours.

What you get
Role-based training plan
Each employee learns only what their job needs, with examples from your company’s data, not dummy data.
Live online sessions
Short, recorded sessions in Saudi time that staff join from any branch.
Arabic user guides
Written step-by-step guides with screenshots for every recurring task, easy to search and print.
Short videos
A video of a few minutes for each task that staff can return to when they need it.
Separate training environment
A copy of the system to practise on without fear of damaging real data.
In-house champions
Deeper training for one or more employees so they become the first point of help for colleagues.
Post-launch follow-up
Q&A sessions in the first weeks and a WhatsApp group for daily questions.
Adoption tracking
Tracking who actually uses the system and where staff get stuck, with extra training where needed.
Why does a good system fail without training?
The most expensive system in the world is worthless if staff keep recording orders on paper and typing them in at the end of the week. An employee who was not trained well is afraid of making mistakes in front of colleagues, so they go back to the way they know, the data in the system is incomplete, and the manager stops trusting the reports.
Good training is not a one-day presentation forgotten a week later. It is a short programme tied to real tasks, repeated where needed, that leaves behind references staff can return to when they need them.
Training is part of the launch plan
We see the best training results when it is planned together with the launch itself, not added in the final week. Training is tied to the data migration, the practice environment and the date the old way of working stops, and any break in that sequence confuses staff.
We usually suggest a phased launch: one department or branch first, which trains and works on the system for two weeks, then we address what came up before rolling out to the rest of the company. Staff in the first phase then become practical go-to people for their colleagues, which speeds adoption more than any written guide.
We also agree with management on a firm date when the old way of working stops. Leaving Excel available with no deadline means many staff will work both ways, doubling the work and wasting the benefit of the system.
- Two weeks before launch: key users trained on the practice environment
- Launch week: short sessions for each role and intensive WhatsApp support
- Two weeks after launch: usage measured and focused sessions for anyone struggling
- After one month: review with management and guides updated
How we design the programme, and what you receive at the end
We start with the list of roles in your company and the daily, weekly and monthly tasks each role performs. Then we build a short path for each role that starts with the most frequent tasks; an employee who masters the five most important tasks on day one gains the confidence to learn the rest.
You receive a set of references that stay with your company and serve every new hire, so you do not pay for the same training again each time you recruit.
- Finance: tax invoices, ZATCA e-invoicing, collections, journal entries, month-end close
- Sales: customers, quotations, opportunity follow-up, reports
- Warehouse: receiving, issuing, transfers and stock counts
- HR: attendance, leave, payroll and Mudad and Qiwa data
- Management: KPI dashboards, reports and approvals
- An Arabic user guide for each role with steps and screenshots
- A library of short videos, one per task
- Recordings of the live sessions
- A list of the questions raised during training, with answers
- A suggested first-week training path for new employees
Online training for multiple branches
We deliver training through online meetings in Saudi time, which suits companies with branches in different cities: everyone joins the same session, and it is recorded for anyone absent or who joins later. Small groups by role work better than one company-wide lecture.
After each session staff complete set tasks in the training environment, and we review the results with them at the next session. That way we know who has understood and who needs help before launch, not after.
Do we train on systems we did not build?
Yes, whether the system is custom or off the shelf, as long as we can access a practice environment. We start by understanding how your company works in the system, not by explaining every button, then build the content around real tasks.
If, while preparing, we notice that a usability problem comes from a screen design or an unnecessary step in the system rather than a lack of training, we note it separately so you can decide whether it is worth changing.
How do you measure training success?
Training success is not measured by attendance or by how much people liked the session, but by what happens in the system after launch. So before we start, we agree with you on simple indicators to track in the first weeks.
If a particular department is struggling, we run a short extra session focused on the exact task they find hard, instead of repeating the whole training.
- The share of staff who log in and use the system daily
- The number of transactions recorded in the system compared with what used to go into Excel or on paper
- Recurring data entry errors and which department they come from
- The number of daily questions in the support group, and whether it falls over time
- Managers’ view of report accuracy after a month of operation

Frequently asked questions
How much does staff training on a system cost?
It depends on the number of roles, trainees and sessions, and whether you need written guides and videos or live sessions only. Training a small sales team on a CRM is different from training a multi-branch company on a full ERP. We send a written quote within 24 hours once we know the roles. A large part of the cost is spent once on guides and videos, which your company then uses for every new hire at no extra cost.
Is the training in person or online?
We deliver training online through live meetings in Saudi time, and every session is recorded. This suits multiple branches and lets staff rewatch, and with a separate training environment each employee practises on their own device. With large numbers of trainees we split them into small groups by role, because a session with thirty employees from different departments loses focus quickly.
How many sessions does each employee need?
Usually two to four short sessions per role, each 45 to 90 minutes, with hands-on practice in between. Key users such as accountants need more than a user who only approves requests. We prefer short, repeated sessions over one long training day, because people remember what they did with their own hands better than what they heard in a lecture.
Does the training cover future new hires?
You receive guides, videos and a new-hire path that stay with your company, and the in-house champion we trained can take over training. Regular training sessions can also be agreed as part of a maintenance contract. We add every new recurring question from staff to the FAQ, so the references improve over time instead of going stale.
Our staff are resisting the new system. What can we do?
Resistance usually comes from fear of making mistakes or of extra work. We start with the tasks where the system clearly saves the employee time, provide a safe practice environment, and involve the direct manager in follow-up. We measure actual usage to see where people get stuck. When an employee sees the system shorten a task they repeat every day, resistance turns into requests for more features.
Are the guides in Arabic?
Yes. Guides, videos and sessions are in plain Arabic, keeping any English terms the system displays. An English version can be prepared on request for staff who do not speak Arabic. We write the steps in the employee’s language, not the developer’s, and avoid technical terms they do not need to get their work done.
When does training start relative to launch?
We usually start one to two weeks before launch on the training environment, so staff are ready on go-live day, then follow up with Q&A sessions in the first weeks after. Training too early is forgotten; training too late disrupts the launch. Beforehand we prepare realistic training data from your company, so staff practise on items and customers they know instead of examples that look nothing like their work.
Do you train staff on ZATCA e-invoicing?
Yes, as part of finance training: issuing standard and simplified tax invoices, credit and debit notes, tracking submission status and handling rejected invoices. We focus on what the accountant needs daily in the system you use. We also cover what happens when the integration drops or an invoice is rejected, because these are the situations that throw an accountant who has not practised them.
