Fleet and Delivery Fleet Management System
A fleet management system records every vehicle, driver, trip and expense in one place, so the company knows where its vehicles are now, when maintenance is due, and what a kilometre costs. We build it for transport and distribution companies, delivery fleets, vehicle and equipment rental companies, and businesses that run a fleet to serve their own operations. Implementation takes 8 to 14 weeks. Market guides put custom systems for mid-sized businesses at SAR 30,000–150,000 and advanced apps with live tracking and a driver app at SAR 100,000–300,000, depending on vehicles, apps and integrations. What you get
Vehicle file
The vehicle’s details, documents, odometer, custody, and its maintenance, accident and expense history on one page.
Drivers and handovers
The driver’s file, licence and documents, vehicle handover and return with photos and a checklist, and a record of fines and accidents.
Trips and dispatch
Create the trip or transport order, assign vehicle and driver, set loading and drop points, and capture proof of delivery by signature and photo.
Live tracking on the map
Vehicle positions in real time from tracking devices that expose a data output or from the driver app, with route history.
Driver app
The driver sees trips, starts and ends them, documents delivery, and logs fuel, expenses and faults from a phone.
Preventive maintenance and breakdowns
A plan per vehicle by kilometres or interval, an alert before it is due, repair orders, and spare parts with their stock.
Fuel and tyres
Fill-ups recorded and consumption compared with distance to spot anomalies, plus tyre life and rotation tracking.
Documents and fines
Registration, insurance, periodic inspection and operating cards with dates and alerts, and traffic fines charged to the driver responsible.
Running cost and reports
Cost per kilometre and per trip for each vehicle, utilisation and downtime, and comparisons between vehicles and drivers.
A tracking device alone doesn’t manage a fleet
Many companies fitted trackers and assumed the fleet was managed. Tracking answers one question: where is the vehicle? It doesn’t answer the ones that cost money: why does this truck burn more fuel than its twin? How many times was it in the workshop this year, and at what cost? Which vehicle is now cheaper to sell than to repair? And who was driving when the fine was issued?
A fleet system combines tracking with maintenance, fuel, documents, trips and accounting. Cost per kilometre appears for every vehicle, deviations appear when they happen, and replacement and allocation decisions rest on numbers.
Off-the-shelf fleet software or a custom system?
Ready-made tracking platforms come with the devices on a monthly fee per vehicle, with basic reports on route, speed and stops. That is enough if all you want is monitoring.
Custom suits a company that wants the fleet to be part of its business, not a separate screen: the transport order comes from the sales system, the trip is invoiced to the customer, maintenance draws from spare-parts stock, and driver pay is calculated from trips. We don’t ask you to change tracking devices: we read from them where the provider offers a data interface and build on top.
Connecting to tracking devices, accounting and WhatsApp
Location comes from one of two sources: a tracker fitted in the vehicle, or the driver’s phone through the app. The first is more accurate and needs nothing from the driver; the second costs less and suits light delivery fleets. We assess which fits you, and integrate with your current device provider where an interface is available.
On the accounting side, if you sell transport, a completed trip issues an invoice that meets ZATCA’s e-invoicing requirements, and each vehicle’s expenses are posted to its cost centre. Over WhatsApp, the customer gets a tracking link and delivery notice, and the manager gets an alert for an expiring document or maintenance due. With transport regulators’ platforms, integration is done where the platform offers an interface to your system.
- Positions read from existing trackers where that is available
- An e-invoice from the completed trip or transport order
- A tracking link and delivery notice to the customer on WhatsApp
- Fuel, maintenance and fines posted to cost centres
Preventive maintenance: the cheapest line in the fleet budget
A breakdown on the road costs many times what preventive maintenance does: recovery, an urgent repair, a late shipment and an unhappy customer. Yet maintenance gets skipped, because nobody remembers the due date of each of a hundred vehicles.
The system remembers. Each vehicle has its plan by kilometres, months or operating hours, the odometer updates from tracking or the driver, and the alert arrives early enough to schedule the work without disrupting trips. The breakdown log shows which vehicles and parts keep failing.
What to prepare before the first meeting
We need to understand your operating cycle: long-haul trips between cities, daily distribution with many drops, or rental on contracts? Each has its own screens.
- The vehicle list with types, model years, odometers and documents
- The driver list and how pay and incentives are calculated
- Your current tracking device provider, if any
- The transport order, proof-of-delivery and maintenance report forms you use
- Your accounting software and the reports management asks for
Common mistakes and how to compare quotes
The first mistake is a complicated driver app. Drivers use it while working, so every extra screen means missing data. The second is relying on manual odometer entry with no checks, so maintenance and consumption are built on wrong numbers.
When comparing, ask: is the price per vehicle per month, or one-off? Does it work with the trackers I already own? Who pays the map and messaging fees, and what do they come to at my volume? Does the driver app work on a weak signal? And who owns the code and the app-store accounts?

Frequently asked questions
How much does a custom fleet management system cost?
Market guides put custom systems for a mid-sized business at SAR 30,000–150,000, estimate adding maps and tracking at SAR 15,000–40,000, and put advanced apps with live tracking and several front ends at SAR 100,000–300,000. These are market ranges, not our price. We send a written quote within 24 hours once we know the fleet size and type of operation.
Does it work with the tracking devices we already have?
Often yes, if the device provider offers an interface for reading location and odometer data. We check that with the provider before signing. If no interface exists, the alternative is tracking from the driver app or devices that support integration, and we explain the difference in accuracy and cost.
Does the driver need an app?
It is the better option. From the app the driver sees trips, documents delivery by signature and photo, and logs fuel, expenses and faults. We design it with as few screens as possible and large buttons, and it works on a weak signal and syncs later.
Does it alert us to maintenance and expiring documents?
Yes. Every vehicle has a maintenance plan by kilometres or interval, and every document has an expiry date: registration, insurance, periodic inspection and the driver’s licence. Alerts arrive ahead of time by a margin you set, to the person responsible, in the system and on WhatsApp.
Does it detect fuel fraud?
It helps to detect it. The system compares recorded fill-ups with distance travelled from tracking, calculates the consumption rate for each vehicle, and compares it with similar vehicles and its own history. The deviation shows in a report; establishing the cause remains with your management.
Does it suit delivery companies?
Yes. For delivery fleets we add order allocation to couriers, stop sequencing, proof of delivery, cash collection and settlement, and a tracking link for the customer. If you are building a full ordering platform for customers, that is our delivery apps service, and the two work together.
Does it connect to accounting and e-invoicing?
Yes. A completed trip or transport order issues an invoice in the format required for e-invoicing if you sell transport, and expenses are posted to each vehicle’s cost centre. This works with an accounting module inside the system or with your current software if it allows integration.
Does it connect to government transport platforms?
We implement integration where the platform offers an interface to your system and under your business’s licence, and we check what is available before signing. What can’t be connected is recorded in the system manually with its alerts, such as card and licence dates.
How long does implementation take?
8 to 14 weeks. We start with vehicle and driver files, documents and maintenance, then trips, the driver app and tracking, then costs and reports. The delivery date is written into the contract and we keep it.
Are the code and accounts in our name?
Yes. The code, database, and hosting, app-store and maps accounts are in your company’s name and the contract says so. There is no monthly fee per vehicle from us. After launch you get fast technical support.
