Maintenance Company Management System

Management System for Maintenance, Cleaning and Facility Management Companies

Maintenance company software runs service requests, work orders, technician dispatch, customer contracts, preventive visits, spare parts and invoices in one system. We build it for air-conditioning, lift and equipment maintenance companies, cleaning and operations companies, facility managers, and maintenance contractors on annual contracts. Implementation takes 8 to 14 weeks, with request intake and the technician app going live first. Market guides put a basic field app for technicians at SAR 35,000–70,000, a custom integrated system for a mid-sized business at SAR 30,000–150,000, and a platform with a customer app, a technician app and an admin panel at SAR 70,000–170,000. Who is this for?

  • Air-conditioning, refrigeration, lift, appliance and equipment maintenance companies
  • Cleaning and operations companies running teams across many customer sites
  • Facility management companies serving buildings and compounds on annual contracts
  • Maintenance contractors committed to a response time written into their contracts
  • Companies assigning jobs through WhatsApp groups and losing track of them two days later

What you get

Request intake from every channel

A call, WhatsApp, the customer portal or a QR code on the equipment. Every request gets a number, a category and a priority, and the customer knows its status without calling.

Work orders

A request opens a work order with the site, asset and fault, tracked by status: open, assigned, on the way, in progress, waiting for a part, closed.

Scheduling and dispatch

A board showing technicians, their jobs and locations, with assignment by skill, area and workload, and drag-and-drop reassignment in an emergency.

Technician app

The technician sees the day’s jobs and route, checks in, takes before and after photos, records parts used and collects the customer’s signature. It works on a weak signal.

Contracts and preventive visits

The maintenance contract with its sites, assets and coverage, recurring visits generated automatically on schedule, and an alert before the contract ends.

Agreed response times

A timer per request based on its priority and the customer’s contract, escalation to the supervisor before the limit, and a monthly compliance report for the customer.

Spare parts and van stock

A main store and a stock per technician’s van, parts issued against the work order, and a purchase request when stock runs low.

Quotations and invoices

A quotation for anything outside the contract that the customer approves on their phone, and a tax invoice from the closed work order or a periodic contract invoice.

Customer portal and reports

Customers raise requests and see each asset’s history and visit reports. Management sees technician productivity, repeat faults and profit per contract.

A WhatsApp group is not an operating system

Most maintenance companies start the same way: a request comes in by phone, gets typed into a WhatsApp group, and a technician replies “done”. A month later the customer asks about an old request and nobody can find it. They ask for a report of what was done under their contract and the supervisor pieces it together from photos and messages. The preventive visit falls due and the only one who remembers is the customer, when the unit breaks down.

Then there is the money nobody sees: a part fitted and never invoiced, an out-of-contract visit done for free because no one checked the coverage, and a technician who spent half the day on the road because jobs were assigned with no regard for location. The system gives every request a number, an owner and a clock, and ties the work to the contract, the part and the invoice.

Ready-made software or a custom system?

There are ready-made field service and maintenance products, some of them strong international ones. For a company with a handful of technicians and one type of service, subscribing to one is a good start. Just check Arabic support in the technician app, because the technician is the one using it every hour, and the pricing, which is usually per user per month.

A custom system suits a company whose contracts vary: a different response time per customer, what the contract covers and what it doesn’t, assets with a maintenance history, cleaning teams on fixed sites and shifts, and reports the customer wants in their own format. It also suits companies with dozens or hundreds of technicians, where monthly user fees exceed the cost of a system they own. The field service apps page covers the field app itself in more detail; this page is about the system for the whole company.

What the first version contains

The first version closes the basic loop: request, work order, technician, documented completion, invoice. After that we add contracts and preventive visits, stock, the customer portal and response time reports.

  • Customers with their sites and assets
  • Request intake, opening the work order and assigning it
  • The technician app: jobs, check-in, photos, parts, signature
  • Closing the order and the visit report to the customer
  • The tax invoice and a tracking board for the supervisor

Connecting to accounting, payment and WhatsApp

A service company issues invoices, so we build invoicing to meet ZATCA’s e-invoicing requirements, or connect the system to your current accounting software if that is what issues them. Invoices, collections and parts cost are posted to accounting where your software offers an interface, so you see profit per contract with no re-entry.

WhatsApp is the natural customer channel here: acknowledgement of the request with its number, notice that the technician is on the way, the visit report, and a payment or rating link. Online payment for one-off services goes through a licensed payment gateway supporting mada and Apple Pay. Customer details, addresses and site photos are data we protect with permissions in line with the Personal Data Protection Law.

  • Maps: the customer’s location, the technician’s route and tracking during the job
  • Accounting software or ERP: invoices, collections and cost
  • Large customers’ systems: requests received automatically where their system offers an interface
  • HR: working hours and overtime from work orders

Migrating contracts and assets, and going live

What moves before go-live: customers and their sites, active contracts with their dates and coverage, the asset list if one exists, the schedule of upcoming preventive visits, and the spare parts list with balances. Many companies have no asset register, so we build it gradually: each asset is registered on its first visit with a QR label.

We start with one team or one area. The supervisor and technicians work on the system for two weeks and we adjust the technician app to their feedback, because the whole project depends on technicians actually recording their work. Then we roll out to the other teams. The old WhatsApp groups are closed by a clear management decision, or everyone drifts back to them.

Common mistakes in maintenance company systems

The first mistake is a complicated technician app. If closing a job takes ten fields, the technician will close it from memory at the end of the day, and you lose accurate times and parts. Aim for the fewest taps, and photos instead of typing. The second is building the system on requests alone and forgetting contracts, which decide what is free and what is billable.

The third is measuring technicians by job count alone, so they race for the easy jobs and leave the hard ones. First-visit fix rate, repeat faults and customer rating are better measures. When comparing quotes, ask: is the price per technician per month? Does the app work without a signal? Are the code and the database in my name?

Frequently asked questions

How much does maintenance company software cost?

Market guides put a basic field app for technicians at SAR 35,000–70,000, a custom integrated system for a mid-sized business at SAR 30,000–150,000, and a platform with a customer app, a technician app and an admin panel at SAR 70,000–170,000. These are market ranges, not our price. We send a written quote within 24 hours once we know your number of technicians and types of contract.

Do technicians get a mobile app?

Yes. The technician sees the day’s jobs in order, opens the customer’s location on the map, checks in, takes before and after photos, selects the parts used and collects the customer’s signature on screen. The app works on a weak signal in basements and plant rooms, then syncs when the signal returns.

Does it generate preventive maintenance visits automatically?

Yes. The contract defines the visit frequency per asset or site: monthly, quarterly or otherwise. The system generates the work orders ahead of time and puts them on the dispatch board, with a checklist for the technician to complete. The customer sees completed and upcoming visits in their portal.

Does it track the response time agreed with the customer?

Yes. Each contract and priority has a response time and a fix time. The timer starts when the request is logged, alerts the supervisor before the limit, and records the reason for any delay. At month-end a compliance report comes out per customer, ready to send as it is.

Does it suit cleaning companies?

Yes, with different logic. A cleaning company mostly works with fixed teams on sites and shifts rather than individual requests. So we build site and shift rosters, worker attendance on site, quality checklists the supervisor completes with photos, and materials used per site, alongside requests for urgent jobs.

Does it manage spare parts and van stock?

Yes. The main store has its balances and each technician’s van has its own stock. When the technician records a part on a work order it is deducted from the van and added to the invoice if it falls outside the contract. A replenishment request is raised when van stock drops below its minimum.

Can the customer raise and follow a request?

Yes. Through a portal or app, or by scanning a QR code on the equipment, which opens a request already tied to the asset and site. They are notified on assignment, when the technician sets off and at closure, with the visit report. The customer’s facilities manager sees every request for their sites on one screen.

When is ready-made field service software enough?

If you have few technicians, one type of service and simple contracts, ready-made software on a monthly subscription is usually enough. Custom suits varied contracts with different response terms, asset registers, cleaning and operations teams, and companies with many technicians for whom user fees add up.

How long does implementation take?

8 to 14 weeks. We start with requests, work orders, the technician app and invoices, then contracts, preventive visits and response times, then stock, the customer portal and reports. The delivery date is written into the contract and we keep it.

Do the code and the data belong to our company?

Yes. The source code, the database, and the hosting and app store accounts are in your company’s name, and the contract says so. There are no fees per technician or user. After launch you get fast technical support, with the option of a support contract covering your teams’ working hours.
