Training Centre and Institute Management System
A training centre management system runs courses, schedules, registration, payments, attendance, trainers and certificates in one place, from the first enquiry to a certificate that can be verified. We build it for training centres, institutes, language centres and the training departments of companies and organisations. Implementation takes 6 to 12 weeks. Market guides put a brochure website for a training centre at SAR 4,800–15,000, a custom-built education management system at SAR 25,000–100,000 and above, and a full learning platform with mobile apps at SAR 40,000–150,000, depending on branches, programmes and integrations. What you get
Course and programme catalogue
Each course with its outline, hours, prerequisites and price, from which groups are opened with dates, a trainer, a room and a capacity.
Registration and payment
A registration form on the website or at reception, payment by mada, Apple Pay or transfer, instalments for long programmes, and a receipt and invoice per payment.
Trainee record
Details and documents, completed courses, attendance and grades, payments and balance, and certificates in one place.
Attendance
Attendance taken on the trainer’s phone or by a code the trainee scans, with the attendance rate the certificate requires calculated automatically.
Trainers and rooms
A schedule per trainer and room that prevents clashes, each trainer’s hours and fees according to their contract, and trainee ratings.
Tests and evaluation
Grades for tests and projects, pass conditions per course, and a satisfaction survey sent automatically when the course ends.
Certificates with a verification code
A certificate issued automatically to everyone who met the conditions, on the centre’s template, with a unique number and a QR code opening a verification page on your site.
Corporate clients
A quotation and training contract for an organisation, its list of nominees, one invoice to the organisation, and an attendance and results report for its training officer.
Course and profitability reports
Registrations and empty seats, each course’s revenue against its trainer and room cost, overdue payments, and registration sources.
The empty seat and the late certificate
A training centre sells seats on fixed dates. A course that starts with eight trainees in a room for twenty is a loss that can’t be recovered. Many centres don’t know a week before the start how many have really registered and how many have paid, because registration is in a form, payment is in the bank account, and follow-up is in an employee’s WhatsApp chats.
After the course another problem begins: certificates. Someone checks the attendance sheet by hand, types names into a template and sends them one by one. A year later an employer calls to verify a certificate and the team digs through the archive. The system joins the links: registration shows remaining seats live, attendance decides who qualifies, and the certificate is issued in one click and stays verifiable for good.
A ready-made platform or a custom system?
If your business is recorded courses sold online, ready-made learning platforms are enough and you can start in days. If your centre is small with a few courses a month, a registration form, a tidy schedule and cloud accounting software may serve you for a year or two. Don’t build a system before the workload starts to hurt.
A custom system suits the in-person or blended centre that has grown: dozens of groups a month, several branches and rooms, trainers on different contracts, corporate clients asking for reports, and certificates that must be issued under exact conditions. This is operations management, not a content platform, and ready-made products cover only part of it. If you also have online content, we connect the system to a learning platform or build one alongside it.
What the first version contains
The first version runs a complete course from opening registration to issuing the certificate. After that we add corporate clients, the trainee portal, online tests and profitability reports.
- The course catalogue and groups with their schedule, trainer and room
- Registration, payment, receipts and the tax invoice
- The trainee record and the attendance sheet
- Certificates on the centre’s template with a verification code
- A report of registrations, payments and overdue amounts per course
Accreditation, and connecting payment, accounting and e-learning
Training is a licensed activity, and some programmes and certificates carry accreditation requirements on hours, attendance rates, certificate details and what is reported to the accrediting body. What applies to your programmes is for you to confirm with the body concerned; we build the system around what you decide: certificate fields, pass conditions and required reports. Automatic integration with any official platform is built where an interface is available to your business.
Online payment goes through a licensed payment gateway supporting mada and Apple Pay. Invoices meet ZATCA’s e-invoicing requirements, and which training services are taxable is for your accountant to determine. Trainee details and documents are personal data that we protect with permissions and encryption in line with the Personal Data Protection Law.
- E-learning platform: single sign-on and test results transferred where an interface is available
- Video meeting tools: the session link created with the class for remote courses
- WhatsApp: registration confirmation, a reminder before the course starts, the certificate itself
- Accounting software: revenue and trainer fees posted
Data migration, and going live with the next course
The most important thing to migrate is the register of past certificates: names, certificate numbers, courses and dates. That makes the verification page work for old certificates too, which is what a centre is asked about most, years later. Then come the course catalogue, the trainee list, and open balances on instalments and corporate contracts.
We don’t switch running courses halfway. They finish the old way, and every new course starts on the system. Within one training cycle the whole centre has moved without confusing trainees. Registration staff, trainers and the accountant are each trained on their own screens.
Common mistakes in training centre systems
The first mistake is confusing a learning platform with a centre management system. The first shows content and tests; the second runs rooms, trainers, contracts and money. Buy the first to run an in-person centre and you are back in spreadsheets within a month. The second mistake is certificates with no unique number and no verification page, easy to imitate and hard to prove.
The third is neglecting corporate clients, who in many centres are the largest source of revenue and follow a different cycle: quotation, contract, nomination, invoice on credit, report. When comparing quotes, ask: is the price per trainee? Are certificates and the verification page included? Are the code and the database in my name?

Frequently asked questions
How much does a training centre management system cost?
Market guides put a brochure website for a training centre at SAR 4,800–15,000, a custom-built education management system at SAR 25,000–100,000 and above, and a full learning platform with mobile apps at SAR 40,000–150,000. These are market ranges, not our price. We send a written quote within 24 hours once we know your courses, branches and what you want connected.
Does it issue certificates that can be verified?
Yes. The certificate is issued automatically to everyone who met the attendance and pass conditions, on your centre’s template, with a unique number and a QR code. Scanning the code opens a page on your website confirming the trainee’s name, the course and its date. A whole cohort’s certificates can be issued in one click and sent by email or WhatsApp.
Is the system compliant with course accreditation requirements?
We build the system around the requirements you confirm with the licensing or accrediting body: hours, attendance rate, certificate details and required reports. We don’t give regulatory advice and we don’t claim accreditation from any body. Integration with any official platform is built where an interface is available to your business.
Does it support online registration and payment?
Yes. The trainee picks the course and group on your website, sees the seats left, and pays by mada or Apple Pay through a licensed payment gateway, which reserves the seat and sends a confirmation and an invoice. Registration at reception and bank transfer are also available, with the receipt attached.
Does it handle corporate training and nominations?
Yes. A quotation and contract are created for the organisation, and its nominee list is uploaded or entered by its training officer through a private portal. One invoice is issued in the organisation’s name, and it receives a report of its employees’ attendance, results and certificates. Management tracks each organisation’s receivables by age.
Does it work for in-person and remote courses together?
Yes. A group can be in person in a room, remote with a video meeting link created with the session, or blended. Attendance is recorded either way. If you have recorded content and online tests, we connect the system to a learning platform or build one as a module within it.
Does it calculate trainer fees?
Yes. Each trainer has a calculation method: per hour, per course, or a share of its revenue. The system calculates what is due from sessions actually delivered and shows what has been paid and what remains. The course profitability report deducts the trainer and room cost from its revenue.
How is it different from a school management system?
A school system is built on an academic year, classes, subjects, parents and annual fees. A training centre system is built on short, repeating courses, groups that open and close, rolling registration, certificates and corporate clients. The logic differs, which is why each has its own page and its own system.
How long does implementation take?
6 to 12 weeks. We start with courses, registration, payment, attendance and certificates, then trainers and corporate clients, then the trainee portal and reports. The delivery date is written into the contract and we keep it, and go-live begins with the first new course.
Do the code and the data belong to the centre?
Yes. The source code, the database, and the hosting and domain accounts are in the centre’s name, and the contract says so. There are no fees per trainee or course. After launch you get fast technical support, and you can develop the system with any team you choose.
