Car Workshop and Service Centre Management System

Car Workshop and Service Centre Management System

A car workshop management system follows the vehicle from check-in to handover: a job card with inspection and photos, a full vehicle history by plate or VIN, a quote the customer approves on WhatsApp, spare parts issued from stock, work assigned to technicians, and tax invoices that meet e-invoicing requirements. We build it for service centres, specialist workshops, quick-service centres and fleet maintenance companies. Implementation takes 8 to 14 weeks, and custom systems with us start from SAR 18,800 depending on branches and integrations. You get a written quote within 24 hours.

Who is this for?

  • Car service centres with branches
  • Specialist workshops: electrical, mechanical, body and paint, air conditioning
  • Quick-service centres for oil changes and tyres
  • Companies maintaining vehicle fleets under contract

What you get

Vehicle check-in and job card

The plate number brings up the vehicle’s history and owner, with a check-in inspection, photos, odometer reading and the customer’s complaint.

Quote and customer approval

A quote with parts and labour sent to the customer on WhatsApp and approved by link; any extra repair needs a new approval.

Work assigned to technicians

Each job card assigned to one or more technicians with start and finish times, so each technician’s load and productivity are known.

Spare parts and stock

Parts issued straight to the job card, reorder levels, purchase orders to suppliers, and alternative part numbers.

Vehicle history

Every visit, repair, replaced part and odometer reading, so the technician knows the car’s history before opening the bonnet.

E-invoicing and payment

Tax invoices that meet ZATCA’s requirements, payment with mada and Apple Pay, and the invoice sent on WhatsApp.

Service reminders

An automatic reminder to the customer for the next oil change or service, by time or mileage.

Fleet contracts

Contracted prices per company, pre-approval limits, and a monthly invoice with a report per vehicle.

The biggest cause of disputes between customers and workshops

The customer left the car for a small repair and came back to a bill far larger than expected. Nothing damages trust in a workshop more. The cause is rarely bad faith; it is the lack of a documented way to present the extra repair and get approval for it.

The system makes approval part of the job: no repair goes ahead until the customer approves the quote through a WhatsApp link, with a photo of the damaged part if needed. The customer knows the bill before the repair, and the approval is kept on record.

Spare parts: where the profit leaks

A part issued but never added to the invoice, or a part sitting in stock that nobody knew about, so it was bought again. In workshops where job cards and stock aren’t linked, these are daily losses.

  • Parts issued straight to the job card, so they appear on the invoice automatically
  • Stock of each part per branch with a reorder level
  • Alternative and compatible part numbers
  • A margin report on parts and labour for every job card

Service reminders: customers who come back without advertising

The cheapest customer is the one who returns. When the system knows the date of the last oil change and the odometer reading, it sends the customer a WhatsApp reminder as the next service approaches, with a link to book.

That alone turns the workshop from a place customers visit when something breaks into a place they return to regularly.

E-invoicing

Invoices issued by the system are built to meet ZATCA’s e-invoicing requirements, including Phase 2 integration when your business is in scope. The invoice separates parts and labour, as customers and fleet companies need.

If you have accounting software you want to keep, we post invoices and purchases to it when it offers an integration interface.

Ready-made software or a custom system?

A single workshop with standard services may be well served by ready-made workshop software or a cloud invoicing package. Try what is on the market first, and compare products on e-invoicing, Arabic and data export.

A custom system suits service centres with branches, those serving fleets with contracts and approvals, or those that want a customer app and appointment booking. You own the code and the data, with no fee per branch or technician.

Frequently asked questions

How much does car workshop management software cost?

Cloud invoicing and POS subscriptions run at SAR 19–999 a month, and custom systems for a mid-size business SAR 18,800–37,500. Custom systems with us start from SAR 18,800, and we send the quote in writing within 24 hours.

Can customers approve repairs on WhatsApp?

Yes. The quote is sent to the customer as a WhatsApp link, they approve or decline each line, any extra repair needs a new approval, and every approval is kept on the job card.

Does it keep each car’s service history?

Yes. Every repair, replaced part and odometer reading is recorded against the plate number or VIN, so the technician sees the car’s full history at check-in.

Does it manage spare parts stock?

Yes. Parts are issued to the job card and appear on the invoice automatically, stock of each part per branch is known, and purchase orders are raised when a part reaches its reorder level.

Does it suit fleet maintenance for companies?

Yes. Each company has its contracted prices and a pre-approval limit, and the month’s repairs are combined into one invoice with a report per vehicle.

Do the code and the data belong to the workshop?

Yes. The source code and the database are in your company’s name, and the contract says so. The delivery date is written down, payments are tied to stages, and after launch you get fast technical support.
