Wedding and Event Hall Booking and Management System
A wedding hall booking system stops double bookings and keeps the money in order: a calendar of halls and sessions in Hijri and Gregorian dates, packages with seasonal prices, add-ons such as catering, kosha stage and photography, deposits and instalments on a schedule, a contract issued by the system, and payment reminders to the client on WhatsApp. We build it for wedding halls, event palaces, rest houses and hotels that rent out their halls. Implementation takes 6 to 12 weeks, and custom systems with us start from SAR 18,800, with the price set by halls, branches and online booking. You get a written quote within 24 hours.

What you get
Hall and session calendar
Every hall, section and session in one calendar in Hijri and Gregorian dates, with a provisional hold that expires unless the deposit is paid.
Packages and seasonal prices
Prices that change by day, season and holiday, and packages by guest count and inclusions, calculated automatically at booking.
Add-on services
Catering, buffet, kosha stage, photography and lighting added to the booking at their prices, with each supplier seeing what to prepare.
Deposits and instalments
A payment schedule per booking, payment links with mada and Apple Pay, and an automatic reminder before each due date.
Contract and terms
A fixed-template contract issued by the system with the booking details, signed electronically by the client, with the cancellation and postponement policy.
Cancellation and postponement
Moving to another date or cancelling under the written policy, with amounts due and refunds calculated automatically.
Event-night run sheet
An operations sheet for every event: guest count, services, suppliers and timings, on the operations manager’s phone.
Reports and occupancy
Occupancy per hall and month, revenue collected and outstanding, and the busiest seasons.
The worst mistake a hall can make: a double booking
A wedding date booked for two families is not a mistake an apology can fix. It happens when bookings sit in one employee’s ledger, another’s spreadsheet and a phone call nobody recorded. The hall loses its reputation before it loses the money.
The system makes the calendar the single source: no date is booked except through it, and a provisional hold expires automatically if the deposit isn’t paid, so no date stays blocked for a client who changed their mind.
The Hijri calendar and seasons
Many clients in the Kingdom set their occasions by the Hijri date, and the seasons move with it: Eid holidays, the weeks after Ramadan, and the summer break. That is why we show the calendar in Hijri and Gregorian side by side and tie prices to the seasons you define.
You can raise prices on peak days and lower them on quiet weekdays, and staff see the right price without having to remember it.
The money: deposits, instalments and reminders
Hall bookings are usually paid in stages: a deposit at booking, then instalments up to the event. The system sets a payment schedule for each booking, sends the client a payment link and a WhatsApp reminder before each due date, and shows management what is overdue.
Invoices are built to meet ZATCA’s e-invoicing requirements and sent to the client electronically.
- Payment links with mada and Apple Pay
- An automatic receipt for every payment on WhatsApp
- A statement for each booking with paid and outstanding amounts
- An alert to management for late payments
Online booking: when does it help?
Some halls prefer the client to visit and see the hall before booking, which makes sense for weddings. But online booking helps with checking available dates, and with smaller events and rest houses.
So we usually suggest a website that shows available dates and packages and takes a provisional booking request, which staff confirm after contacting the client. Full online booking and payment can be enabled for small halls and rest houses.
A general booking system or one built for halls?
General booking systems are designed for hourly appointments: a clinic, a salon, a maintenance visit. A hall is different: a full session, men’s and women’s sections, packages by guest count, suppliers to prepare, and payments spread over months. It needs its own logic.
A custom system is built around how your hall works, you own its code and data, and there is no fee per hall or user. It can grow later to new branches.

Frequently asked questions
How much does a wedding hall booking system cost?
A bilingual booking website costs SAR 5,600–11,250 in the market, and a custom booking platform for one company SAR 18,800–37,500. Custom systems with us start from SAR 18,800, and we send the quote in writing within 24 hours.
Does it support the Hijri calendar?
Yes. The calendar shows Hijri and Gregorian dates together, the client or staff can pick a date in either, and seasonal and holiday prices are tied to the dates you set.
How does the system prevent double bookings?
Every booking goes through one calendar, so the same hall, section and session cannot be booked twice. A provisional hold has an expiry and lapses automatically if the deposit is not paid.
Does it send payment reminders to clients?
Yes. Each booking has a payment schedule, and the system sends a payment link and a WhatsApp reminder before each due date and a receipt after payment, while management sees what is overdue.
Does it suit a hall with men’s and women’s sections?
Yes. Each section is set up as a separate or linked booking unit, so both can be booked for one event or each for a different event, as your hall allows.
How long does implementation take?
6 to 12 weeks depending on the number of halls, online booking and integrations. The delivery date is in the contract, payments are tied to stages, and the code is in your company’s name.
